This article outlines an add-on service that can be purchased at an additional configuration cost. If your organization is brand new to PatronManager, this may already be included in your contract - check with your Project Manager if you're not sure!
What's included in this project?
If your organization sells tickets to a reserved seating venue, a critical piece of your configuration will be the Venue Build.
Our Implementation Team will work with you to create a visual, interactive representation of your Venue space for selling tickets to reserved seating events. For this project, we'll ask you to provide an existing map or sketch of your venue, including section, row, and seat numbers, which we'll use to recreate as a PatronManager Venue. You'll also be able to provide color codes to match with your website design.
After the initial build, this project includes one round of revisions to the Venue, if needed. Once revisions are complete and the design is finalized, we'll upload the Venue to your account, after which you'll be able to build reserved seating events.
Straight vs. Curved Venues
Our pricing structure is broken into the number of seats in the venue, and whether the venue needs to be built with straight or curved rows. Here's an example of a straight-rowed venue vs. a curved-row venue:
"What if I have more than one configuration of the same venue?"
If you would like multiple versions of the same Venue Map built to be utilized for different configurations, let us know! In most cases, the first venue will be considered a Venue Build, and additional configurations will be assessed at the rate of a Venue Edit project.
In some cases, you might find that your Venue needs an edit to the current layout - whether you've moved some seats around, or perhaps you've rebranded and need your venue color scheme updated. For this project, we'll ask you to provide the specific changes that need to be made, and we'll complete the edits to your existing Venue map.
After the edits are complete, you'll have the opportunity to review the edited Venue and provide feedback for any final changes. Once revisions are complete and the design is finalized, we'll upload the Venue to your account, after which you'll be able to continue building your reserved seating events with the new Venue.
You may find yourself in a situation where a change needs to be made to your Venue map after reserved seating events have already been built and/or sold to the public. This type of update calls for Venue Surgery - and it's as serious as it sounds. In addition to editing the Venue, we'll also need to extract and edit any affected seats that were created alongside your events. Because of the nature of this project, we encourage all clients to only consider Venue Surgery if the venue edit is absolutely essential.
Alternatives to Venue Surgery
1. If events aren't on sale yet, delete and rebuild.
If you haven't created events that are connected to a Venue that needs editing but haven't started selling yet, the best option is to submit a Venue Edit request, and then rebuild your reserved seating events after the edited Venue has been finalized and loaded into your account.
2. Need to remove a seat? Create a "Not for Sale" Allocation instead.
If you've removed a broken seat from your venue and don't intend to replace it, you'll likely want your Venue to reflect that the seat no longer exists. We recommend submitting a Venue Edit request with the correction, which can be used when building future events; for existing events that are tied to this Venue map, create a new Allocation called "Not for Sale" and reallocate the broken seat(s) to that Allocation.

How long does this project take?
Project timelines may vary, depending on the size and complexity of your venue, but you should anticipate a minimum of 10-12 weeks for a new venue build or edit.
1. You'll fill out a survey with details about your venue(s) to be built
To initiate your project, we'll need details about your venue including the venue name and address, an uploaded seating map of the venue, hex codes for color coordination with your website, and language for specific seat notes. You can provide these details in this survey.
2. We'll review your venue details, and will submit a form to you via DocuSign
If your Venue was not included in your PatronManager contract, we'll submit a Change Order Request with the cost of the project to you through DocuSign.
3. We'll create an initial draft of your venue
Our Implementation Team will use your survey responses to build your venue map.
4. You'll review the venue and provide any edits or corrections
Once the initial build of your venue map is complete, we'll send you a preview. It's crucial to review each and every seat in the map to ensure that all seat locations align accurately with your venue. After an event has been set up, the layouts of the seats cannot be changed without incurring an additional project cost for Venue Surgery.
5. We'll complete any necessary revisions and submit the final draft for your approval
If any changes need to be made, we'll make the adjustments and send the map back to you for final approval.
6. Once approved, we'll load the new venue into your PatronManager account!
Once you've given final approval on the venue map, we'll load it into your PatronManager account, and you can get to work building out your season!
