For members who get free entry as a perk of their membership, checking into your museum without needing a ticket has never been easier. With the PMGR Member Admission Lightning app, you can quickly look up and admit members visiting your institution, scan them in with a QR code, and report on that attendance later.
In this article, we'll take a look at how Member Admission works, all the features that come with it, and how to get started.
Since Non-Ticketed Member Admission does not involve, well, tickets, you won't be able to report on ticket sales and member admissions at the same time. If you use this feature to admit your members and also sell admission tickets to non-members, you'll need two reports to sum up the total attendance for a given day.
For the same reason, we don't recommend this feature if you need to closely manage capacity, since Non-Ticketed Member Admissions do not count against your ticket inventory. If capacity control is a concern, every visitor including your members should have their own ticket.
Non-Ticketed Member Admission is not fully compatible with Household Memberships. If you use both features, you will need to look up, and track admission for, the Main Contact on the Membership for now.
How does Non-Ticketed Member Admission work?
First, you'll assign your members Benefits in PatronManager (if you haven't already done so), and then you'll admit members to your museum using those Benefits. Each time a member is admitted, a new, timestamped Admission record is created.
You'll use the Admission record to track any guests the member brings, and you can report on those admissions later to see how often, and when, your members are using their Benefits.
Do I need to use Benefits if I want to use Non-Ticketed Member Admission?
Yes - Benefits drive the way Non-Ticketed Member Admission works, so if you're not yet using Memberships and Benefits, you'll want to start there.
How do I admit a member?
From the Membership Admissions app, you'll look up (or scan in) members, then add any guests they've brought with them - it's as easy as that! You'll be able to see a record of a member's attendance on their Contact page.

Can I limit the number of guests members can bring in?
While it's not a "hard cap", you can use the Max Guest Count field to remind your staff how many guests a member is allowed to bring - and that number can be different for each Benefit Level. This allows you to create guidelines, while allowing some wiggle room for a particularly important patron.

What's this about scanning members in?
With Non-Ticketed Member Admissions, you can print a QR code individual membership cards and then scan those codes at your entrance for quick and easy member admission.

Can I report on attendance by members and their guests later?
You bet! Click "New Report" in the Reports tab and search for "admissions" to find three Report Types:
- Contacts with Admissions
- Contacts with Admissions and Account
- Contacts with Admissions and Benefit
Use the Contacts with Admissions and Benefit report type, for example, to see who's been admitted and what Benefit Level they have:
Need to know how many people you've admitted without tickets?
The best way to report on total admissions (members + guests) is to run an Admissions report, sum the total of the Guest Count column, and add it to the total number of admissions records (the record count in the report).
