When your members interact with PatronPortal, there are three different Classic Email Templates that your patrons can receive. These templates are pre-loaded into your account, and you can customize them for your organization to really make your members feel welcome.
In this article, we'll go over:
- The PatronPortal Email Templates
- Where to find PatronPortal Email Templates
- How to update your PatronPortal Email Templates
- How to change who these PatronPortal Email Templates send from
At the end, we'll have some Frequently Asked Questions (FAQs).
What are the PatronPortal Email Templates?
There are three PatronPortal Email Templates pre-loaded into your account when you add PatronPortal. They are:
- Patron Ticket Patron Portal: New User Login Information - Sent when a patron first gets their PatronPortal user so that they can log in for the first time
- Patron Ticket Patron Portal: New Username - Sent when a PatronPortal user changes their username
- Patron Ticket Patron Portal: Reset Password - Sent when a PatronPortal user resets their password
The Membership Order Confirmation Email Template that sends when a patron purchases a Membership will also have their login information.
Where do the PatronPortal Email Templates live?
Like your Confirmation Email Templates, these PatronPortal Email Templates live in the Classic Email Templates section of Setup.
How do I update PatronPortal Email Templates?
Once you're in the Classic Email Templates section of Setup, you can edit the PatronPortal Email Templates similar to the way you would edit a PatronDonate Email Template or a Welcome Template.
We have more detailed instructions on how to edit these types of templates here.
The PatronPortal Email Templates only have a Plain Text version, so you'll only need to edit the template once and will only have one "Edit" button to click!
How do I change who sends these PatronPortal Email Templates?
While these PatronPortal Email Templates will be sent to your patrons automatically, you can set the From Email Address used to send these emails and the From Email Name that appears when these emails go out to your patrons.
This not only helps these emails look more personalized to your organization, it also ensures that someone on your team will get any emails from patrons who might reply to these emails!
The From Email Address for your PatronPortal Email Templates must be a verified organization-wide email address. To set this up, follow these steps to verify an organization-wide email address.
1. Switch to Salesforce Classic
Yup, we'll need to hop over to Classic for a second here! If you want full steps on how to switch from Lightning to Classic and back again, check out this article.
5. Edit the From Email Address and From Email Name
The From Email Address is the email address that is used to send your PatronPortal Email Templates. This must be a verified organization-wide email address, which you can set up with these steps.
The From Email Name is the name that appears in your patrons' inboxes when they receive the PatronPortal Email Tempates.
Only adjust these fields! Making changes to any other fields could break PatronPortal and your patrons' ability to log in and purchase tickets.
Frequently Asked Questions (FAQs)
Sometimes organizations like to put a welcome message like "Thanks for joining us for our 2022 Season!" in their PatronPortal email templates.
If your organization does this, make sure to check your PatronPortal Email Templates as you gear up for your next season to make sure that the language is up to date!
For your Patron Ticket Patron Portal: New User Login Information and Patron Ticket Patron Portal: Reset Password, some clients find it helpful to put the password requirements for the Portal users.
You may find it useful to add some language like "Your password must be at least 8 characters long and have a mix of letters and numbers."
If the login link in your PatronPortal Email Templates leads your patrons to a page that reads, "This page is obsolete. You must have arrived here by mistake." that means your PatronPortal links are still pointing toward an older version of your Public Ticketing Site (PTS). You will need to update your PatronPortal Email Templates to include the updated login link.
To update your PatronPortal login link, follow the steps outlined here using your base PTS URL.
Because these email templates are Text templates, there isn't a way to add images or text formatting to the base templates at this time.
If you'd like to add images or text formatting to your PatronPortal Email Templates, you can create a custom Classic Email Template to add your images and HTML text formatting there.
If you'd like to create a custom HTML Classic Email Template, Salesforce has instructions for you here.
Once your custom template is ready, you can then set it as one of your PatronPortal Email Templates from Customer Portal Settings in Setup.
4.1. Switch to Salesforce Classic
