If you're brand new at your organization, you've probably got a lot of questions about PatronManager. Not to worry; we're here to help. Below, we'll walk you through your journey to start using PatronManager.

Through this new user onboarding process, also known as the PatronManager Foundations Learning Program, we'll give you an overview of PatronManager itself, show you how to use the basics of the system, go through some role-specific training resources, and give you some resources to begin as a newly-minted user.

From start to finish, onboarding should take about 6-8 hours, based on your role at your organization and your Learning Paths. You can split this out over the course of a few days.

Are you taking over for a former employee or colleague who will no longer be using PatronManager? Check with your organization's PatronManager admin to make sure they deactivated the former employee's user and created a brand new one for you by sharing with them these required steps:

OK, the big question: what's PatronManager and what does it do?

We've got the perfect video for you:

PatronManager is a CRM (Customer Relationship Management) software and ticketing system designed to help you oversee all your interactions with your patrons all in one place!

Because all of your patron and donor information lives in the same database, you can run reports combining ticketing, donation, and / or marketing information and easily share that information between departments.

With all of your information stored in one system, your team is more easily able to connect with your patrons and donors in meaningful and targeted ways. For example:

  • Your Development Director can know when a major donor or prospect is attending an event and greet them at the door
  • Your Box Office team sees when a Board Member is purchasing tickets for an event and can make sure to share any special perks or surprises
  • Your Marketing team can report on patrons who attended a similar event in the past and send a targeted offer for an upcoming event
  • Your Accountant can easily pull Financial Reports on both ticket sales and donations
  • Your Executive Director can get a bird's eye view of VIPs based on both ticket purchases and donations

Depending on your job, in daily life, you might use it to:

  • Sell tickets and subscriptions
  • Log calls and emails
  • Enter donations
  • Pull lists for targeted mailings and emails
  • Track financial information
  • Communicate with your colleagues
  • Run reports for your board

Does your organization's PatronManager account look different than what you saw in the video?

If so, your organization is likely still using Salesforce Classic, which is Salesforce's legacy interface. A few years ago, Salesforce released their new and improved interface called Lightning. All organizations must switch to Lightning, and this is a great opportunity for everyone in your organization to learn about PatronManager in Lightning together!

Get in touch with your admin about transitioning to Lightning to get the most out of PatronManager.

2. Find the section you need and click it to begin!

1. PatronManager Foundations Journey

In the PatronManager Foundations Journey section of orientation, we'll give you the tools to get started. The resources in this section will give you an overview of the PatronManager system, how to get help, and acquaint you with the tools to get the most out of the Foundations Learning Program.

Get started with the PatronManager Foundations Journey here, which should take you 30-40 minutes, and consists of the following:

  • The PatronManager Foundations Learning Program Guide (where you are right now)
  • How to Get Help with PatronManager
  • How to Use the Help Tab
  • Recommended Internet Browsers
  • Sign Up for PatronManager Updates

Once you're done, you'll move on to the User Certification Course.

2. User Certification Course

In the PatronManager User Certification Course, we dive into the actual workings of PatronManager. This course will provide you with the know-how to do the basics in PatronManager, from selling tickets to taking donations to knowing where to get help if you need it.

Not only is the User Certification Course helpful, every user contacting the PatronManager Support Team is required to have completed this course.

The User Certification Course consists of six modules with a short (open book!) test at the end. The course should take you about 2.5 hours from start to finish and consists of the following modules:

  1. What is PatronManager?
  2. Where Do People Live in PatronManager?
  3. How Do I Sell Tickets & Take Donations?
  4. How Do We Interact With Our Patrons Online?
  5. What Are My Reporting Options?
  6. How Do I Get Help?

Start with Module 1 of the User Certification Course here.

Once you're done, you'll move on to a Learning Path.

3. Learning Paths

Learning Paths are the primary resources for you to get up to speed quickly for your role-specific training, and each include a quiz at the end. We have the following Learning Paths available:

  • For Everyone - for all PatronManager users; required for all staff members using PatronManager
  • Box Office - for all Box Office staff members
  • Build Events and Subscriptions - for Box Office administrators, especially managers, and Box Office users who will also be building events. (The Box Office Learning Path is a pre-requisite for this Learning Path.)
  • Development - for development and fundraising team members
  • Marketing - for marketing team members

4. Post-Onboarding Resources and PatronManager Admin Certification

Once you've completed the PatronManager Basics, passed the User Certification Course, and completed your Learning Path(s), you're ready to venture out and use PatronManager as a newly-minted user.
