In PatronManager, the Email Status field indicates how your patrons have chosen to interact with your marketing emails! This field provides crucial information, as marketing emails are only effective if your patrons want to receive them in the first place.

This article shows you how to find a Contact's email status, defines those statuses, and lays out how you should handle each status.

Where is the Email Status field?

The Email Status field lives on the Contact record - specifically, in the Preferences section:

What does each status mean, and what should I do with each status?

  • Confirmed Opt-In: The patron has explicitly opted in to receiving your marketing emails via a signup form.  
    • Feel free to send them your targeted emails!
  • Collected: You've collected the patron's email address at some point (e.g. online donations), but they haven't actively opted in to receiving your targeted emails.  
    • You can send emails to Contacts with this status once a quarter or month at most asking them to confirm they'd like to opt in to receive targeted emails.
  • Bounced: Generally, this means the email address on file isn't valid, and they won't receive your marketing emails.
  • Opt-out: The patron has actively said they don't want to receive any marketing emails.  
    • Never send marketing emails to a patron whose email status is Opt-Out.

Why all these guidelines?

Get the best results

It's best email marking practice for your patrons to actively choose to opt in to receiving your emails.  

This way, you'll have better response rates when you reserve the "Confirmed Opt-In" status for patrons who have explicitly requested to receive your marketing communications and reserve "Collected" for occasional emails inviting your patrons to opt-in via your signup form.

Avoid an account freeze from your email-provider

Patrons will be less likely to dismiss your marketing emails as spam when they've actively opted in to receiving those communications.

This is important because your email marketing software may shut down your account if recipients mark your marketing emails as spam, and you don't want that to happen!
