Want to use Campaign Monitor for your marketing email system, and connect it back to PatronManager with a smooth two-way automatic sync? Now you can! Created by a company called Beaufort 12 (B12 for short), the B12 Campaign Monitor for Salesforce connector is robust and easy to use. There are a few important steps you must follow to make the B12 connector work with PatronManager. In this article, we'll walk you through those steps - be sure to follow along all the way to the end. We'll cover:
- Preparing PatronManager for the B12 connector
- Installing the B12 connector
- Configuring default settings to work with PatronManager
- Set up the connector to bring in new Contacts
- Optional: bring over historic Campaign Monitor data
The entire process should take about 2-4 hours, but once it's set up, it's quick and easy to use going forward. Ready? Let's get started!
Before you begin: you'll need a Campaign Monitor account
You can't hook PatronManager to an account that doesn't exist, so make sure you've created a Campaign Monitor account first.

1. Prepare your PatronManager account
You've got your Campaign Monitor account and you're ready to hook it up to PatronManager. That's great! There are a couple things you'll need to do first, so that PatronManager is ready for the new connection.
The internal qualification form tells PatronManager which Contact fields include important information when importing To Be Qualified Contacts (e.g. via the Campaign Monitor integration's automated sync).
1.1. Use the waffle to find and click on "Signup Forms"

1.2. Look for a Signup Form called "Internal Qualification Form" - if it exists, click it
Your form might be called something different, like "Dataloader.io Signup Form". If so, no worries - just click into that form and skip to step 1.5 to add fields to the form.
1.4. Name the form "Internal Qualification Form" and click "Submit" to save
You can ignore all the other fields - the form is only for internal system use.
1.5. Add relevant Contact fields to the form
The form must contain all Contact fields that you plan to sync from Campaign Monitor to PatronManager. At a minimum, make sure it includes First Name, Last Name, and Email.
Again, the form is only for system use, so the field ranking and labeling doesn't matter.

The connector will create new To Be Qualified Contacts, and in order to have it do that, your user Profile needs access to that Contact Record Type.
2.3. Scroll down to "Record Type Settings" and click "Edit" next to "Contact"
Does your Profile page not look like this? No worries - you can switch the view with these steps.
2.4. Select "To Be Qualified" and move it to the right column

2. Install the B12 Campaign Monitor for Salesforce integration
You've prepared your PatronManager account! Now it's time to install the B12 connector and hook it up to Mailchimp. Make sure you've completed all the previous steps before you do this part.
The B12 Campaign Monitor integration is a paid app, but they offer a great discount for PatronManager clients.

Be sure to set up payment with B12 before your 14-day trial ends, or you will lose access to the app.
Install the B12 Campaign Monitor for Salesforce app and connect it to your Campaign Monitor account
Log in to your PatronManager account, then follow the instructions from B12 to install the app from the Salesforce AppExchange.
Complete the steps outlined on that page to install the app and connect your Campaign Monitor account.
Then come back here (before you do anything else!) to finish configuring the app to work with PatronManager specifically.
3. Configure default settings
There are a couple settings to adjust so that the connector works correctly with PatronManager. Let's take care of those first.
3.2. Ensure correct opt-out handling
First we'll make sure that the integration correctly updates PatronManager when a patron opts out (or resubscribes) via Campaign Monitor.
3.2.2. Set "Sync Salesforce Lead/Contact 'Email Opt Out' field with Campaign Monitor" to Active
Make sure the toggle is set to "Active" as shown below.
This ensures that when a patron opts out of all your lists via Campaign Monitor, or resubscribes to any lists later, that change is reflected on their Contact record in PatronManager.
3.3. Set your email tracking options
We need to make sure Campaign Monitor data is visible in PatronManager - without taking up any unnecessary storage.
3.3.2. Set the "Email History (Days to Keep)" to zero
This is important to avoid running up your Salesforce storage costs.
Instead of creating Salesforce records to track email history, you'll instead view it embedded in PatronManager with a Lightning Component, which you'll add in the next step.
3.3.4. Drag the "Email Activities & Journeys" component onto the page, then save
Search for "email" in the left sidebar (1), drag the "Email Activities & Journeys" component onto the page where you wish (2), and save (3)!
This component will surface Campaign Monitor data right on your Contact pages, without taking up any storage space in PatronManager.
4. Configure the connector to bring over new Contacts from Campaign Monitor to PatronManager
You've got the connector installed and hooked up to Campaign Monitor. Now we'll tell the integration to create a new, To Be Qualified Contact in PatronManager for each new or updated subscriber record in Campaign Monitor.
4.2. Click on your Client Name
With Campaign Monitor, you might have more than one "Client", which is like a sub-account with its own set of subscriber lists, campaigns, email templates, and more.
If you have more than one Client, you'll complete the following steps separately for each one.
4.4. Click on your first Subscriber List
Campaign Monitor sync settings are defined on the Subscriber List.
If you have more than one Subscriber List, you'll complete the following steps separately for each one.
4.7. Select "Create a Contact"
Where it says "Create Salesforce Record Action" set the dropdown to "Create a Contact":
4.9. Set the default Contact record type to "To Be Qualified" and click Okay

Don't see "To Be Qualified' as an option in the dropdown? Follow these instructions to enable that Record Type for your Profile, then try again.
4.10. Set default Contact values
When the connector creates a new Contact record, we need it to set a few default values so that qualification works properly.
4.10.2. Fill out the pop-up as follows

- Choose "Signup Source"
- Enter
Campaign Monitor
- Click "Okay"
4.10.4. Fill in the pop-up as follows

- Choose "Signup Status"
- Enter
To Be Qualified
- Click "Okay"
4.10.6. Fill in the pop-up as follows

- Choose "Email Status"
- Enter
Confirmed Opt-In
- Click "Okay"
You must enter Confirmed Opt-In exactly as written (including the capitalization and hyphen).
4.10.8. Fill in the pop-up as follows

- Choose "Signup Form"
- Paste the ID you copied from your Internal Qualification Form earlier
- Click "Okay"
4.11. Set field mappings for the integration
We're almost done! Now we need to tell the connector how (and when) to sync field-level data from Campaign Monitor to PatronManager.
4.11.3. Decide on your mappings
First, orient yourself on the page. The first column (1) shows all the fields you have in Campaign Monitor. The Sync Direction (2) shows which direction data is moving. The Contact column (3) shows the mapped Contact field.
Any Campaign Monitor field that collects new data which should carry over to new Contacts in PatronManager will need to be mapped with the steps below.
For example, if you're collecting address fields on your Campaign Monitor signup form, you'll map those fields to PatronManager so that newly-created Contacts bring that data over from Campaign Monitor.
PatronManager does not use Leads, so you can ignore the Leads column.
4.11.4. Select your first field to map
Choose a field that should bring data over to new Contacts in PatronManager, click the dropdown arrow on the right and select "Edit Mapping."
New Contacts are always created using the email and full name from Campaign Monitor, so don't worry that those fields are locked against editing.
Don't use the dropdowns on the right to delete Campaign Monitor fields. While possible, it's better to take that action in Campaign Monitor where you have full context.
4.11.5. Set your mapping as shown
Important!
Always check the box to "Only use mapping when creating a Salesforce Lead or Contact." If you skip this step, data from Campaign Monitor may incorrectly overwrite existing Contact data in your system, which can be difficult or impossible to fix.
- Set the direction as Campaign Monitor to Salesforce
- Select the appropriate Contact field (only valid field types will appear)
- Check the box to "Only use mapping when creating a Salesforce Lead or Contact."
- Click "Select" to save

Remember: any field you're mapping from Campaign Monitor to Salesforce must appear on your Internal Qualification Form - otherwise the new data won't survive qualification.
Right now you're only mapping data from Campaign Monitor to PatronManager. To learn more about sending data in the other direction, check out B12's documentation, particularly about the import wizard.
4.11.6. Now save your mappings
Once you've completed the steps above for each field you wish to map from Campaign Monitor to Salesforce, Click "Save".
Great job, you did it! The automatic sync happens hourly, so all new Campaign Monitor records will come over in future as new To Be Qualified Contacts. Learn how to qualify them here.
5. Optional: bring over older Campaign Monitor Contacts
As you'll see in the confirmation text when you save your mappings, the connector will only create and update Contact records in PatronManager based on new or updated audience members in Campaign Monitor.
If you'd like to bring over all your Campaign Monitor subscribers (if their email address isn't already in PatronManager), expand the instructions below for a step-by-step guide.
First, review the data in your Campaign Monitor account to avoid cluttering up PatronManager with old or irrelevant records.
5.1. Sweep your Campaign Monitor account for unwanted emails
You can perform this sweep however you like. Campaign Monitor has a blog post with some helpful tips here.
5.2. Backfill Campaign Monitor data into PatronManager
If and when you're sure you'd like bring over all your Campaign Monitor records, head back to your list via the Campaign Monitor Subscriber Lists tab in PatronManager, click the name of your list, select Field Mappings on the left (under "See More"), and click the "Retrospective Sync" button here:
That's it! Your new To Be Qualified Contacts will start arriving in PatronManager shortly. Learn how to qualify them here.

Note: we do NOT recommend auto-creating Salesforce Campaigns, and we do NOT recommend storing email tracking history. Both of those options will quickly use up your Salesforce storage and result in additional costs.
