How to Add New Fields to Your Internal Qualification Form: https://help.pm.leapevent.tech/a/979738
Tracking a new piece of data often means creating a new field in PatronManager. If you use Emma signup forms, or if you import Contacts using Dataloader.io, you'll also want to add that field to your Internal Qualification Form to incorporate it into your qualification process.
The process is slightly different depending on if you're adding a date field or, well, any other field type:
- Click here to add most field types - text, drop-down picklist, checkbox, etc.
- Click here to add a date field
Let's get started!
Adding most field types - text, drop-down picklist, checkbox
As an example, our organization has decided to start tracking whether patrons prefer Pops concerts, Classical concerts, or enjoy both. We're planning to include the field on our Emma signup form, so patrons can tell us which they prefer when they sign up for our email list. To make that field work with qualification, we'll add it to the PatronManager Internal Qualification Form.
Let's go!
1. Create your custom field
If you haven't yet, now's the time to create your custom field. We're going to create a custom picklist field called "Pops or Classical?", with the picklist options of Pops, Classical, or Both!:
First time creating custom fields? Need a refresher? Check out our Help Tab article on the topic.
9. Search "signup" and click Signup Forms
10. Click "Internal Qualification Form"
Your form might be called "Dataloader.io Signup Form". If so, no worries - just click into that form and continue following the steps below.
All done; you can now use this field during the qualification process.
Adding date fields
The Internal Qualification Form doesn't support date fields. If you'd like to use date fields on the Internal Qualification form, please submit a Product Idea via the Client Community and let us know - your feedback drives our product roadmap!
Looking to capture something like "Birthday" for new Contacts? While you can't add date fields to the Internal Qualification Form, many of our clients have found using two fields - one for Month and one for Day - works for them.
We recommend you set these up as picklist fields - that way you can:
- Set up automation that uses these fields to update a true Birthdate field
- Many clients use a default year (e.g. 1900) - they're not actually interested in age (and for good data practices, only collect personal patron data that you need)
- Schedule a report of "everyone who has a birthday this month" to email to you on the 1st
- Ensure accurate data entry from your patrons

- Follow the instructions in this article to create the Birth Month and Birth Day picklist fields.
- Then head to the top of this article for instructions on how to add those fields to your Internal Qualification Form.
- (optional) If you choose to set up custom Salesforce automation to translate these values into a separate date field, remember to always test customizations carefully in a sandbox first.
