How to get Emma enabled in your PatronManager account

A company called Beaufort 12 (B12) has made the link from Emma to Salesforce/PatronManager smooth and easy to use. To get everything going, you'll need to:

  1. Set up your organization's account with Emma.
    • Note: your account setup depends on if you've had an Emma account in the past, if PatronManager set up a previous account for you, etc.
  2. Install the B12 Emma for Salesforce connector to link your Emma account with your PatronManager account. This is a paid app, so be sure to set up payment with B12 before your 14-day trial ends.
    • Note: if you were using Emma prior to October 2020, you'll need to uninstall the legacy Emma connector before you install the new B12 connector.

Be sure to follow all installation steps carefully - they'll help you make sure your Emma and PatronManager accounts work well together!

How to start running lists and sending emails

In short, you'll run reports in PatronManager, and then sync those reports with Emma Segments. You can use the Report Finder section of the Client Community to help you find the right report and filters to use, or you can use CRM Snapshots to get more complex targeted lists.

How to get new patrons signed up for your email list

You can either use Emma's beautiful signup and lightbox forms, or you can embed PatronManager's simple signup form on your website. We recommend Emma's signup forms, as you'll be able to control the look and feel of these forms to a greater extend than our embeddable form.

How to map additional fields from Emma to PatronManager

If you'd like to send even more personalized emails to your patrons, you can sync more Contact fields with Emma to use as automation triggers or as custom merge fields. For example, you could map the Last Donation Date field to include as a merge field in an email.

First, you'll use B12's Import Wizard to map and sync additional field data at the same time. Then, if you plan to use that field on your signup forms, be sure to add it to your Internal Qualification Form.

Heads up!

Date fields (like "Birthday") cannot currently sync from Emma to PatronManager. Many of our clients have found success using two picklist fields - one for Birth Month and one for Birth Day. Click here for details about how to set those up and add them to your Internal Qualification Form.

How to opt patrons back in to your email marketing list

If your patron has opted out of your marketing emails, they'll need to resubscribe themselves.
