How to Create a PatronPortal Test User

You're all set up with PatronPortal - now what? Before you start sending invitations to your patrons, we highly recommend taking the system for a test drive so you can get a fuller sense of the patron experience.

These instructions are intended for organizations whose PatronPortal configuration is complete. If your Implementation Specialist is still configuring PatronPortal, hang tight! We'll let you know when it's time to create a Test User.

We recommend using your own Contact record, particularly if you already have Ticket Order or Donation history in place. If you don't have a Contact record in the system, you can create a new "Test Contact" for this test.

Make sure that the email address of your Test Contact is a real email address that you can access.

2. Enable your Test User

To enable your Test Contact select the Enable Customer User action at the top of the page.

Don't see the "Enable Customer User" action? Click here!

If you see the "View Customer User" and "Disable Customer User" actions, that means your Contact record already has a PatronPortal account. If this is your own, personal Contact record, you can select "Disable Customer User" and then re-enable following the instruction above.

 

Selecting the Enable Customer User action will take you to the contact's User record in the Setup menu. Here, you'll want to verify two fields:

  1. Email: This should be an email address that you are able to readily access.
  2. Username: This field defaults to the value listed in the Email field; however, this must be a unique username across all Salesforce instances.

If this is the username associated with your PatronManager user, you'll need to alter it slightly. For example, we would change the username above to "[email protected].portaltest" to make it unique. The only requirement is that the username is in the format of an email address.

Once you've confirmed the Email and Username fields, select "Save" on the New User record. This will generate a new password and trigger the sending of the New User Login Email to the user.

3. Check your inbox for the Portal Invite email!

You'll see something like this in your inbox:

Be sure to review the wording thoroughly, including the subject line of the email.

Want to change the wording of this email template?

This can be done in the Setup menu! Head over to your PatronManager account, click on the gear in the upper-right corner and select Setup.

In the Quick Find search bar, enter "Email Templates" and select Classic Email Templates.

Take a look in the PatronTicket Email Templates folder and select the Patron Ticket PatronPortal: New User Login Information template.

Select Edit and make your changes to the template.

After you've saved your changes, you can send another test email to make sure you're happy with your new template, rather than disabling and re-enabling your Test User.

4. Log into PatronPortal from the PatronTicket Site

Once you've reviewed the email, click the login link and use the provided Username and Password when prompted.

Once you've logged into the PatronTicket Site, you'll be prompted to change your password. Do this, and then take a look around! You can view your Contact information, orders, donations, and subscription renewals in the "My Profile" section.

What should I be looking for?

Explore "My Profile"

Familiarize yourself with the items that are visible in a patron's Profile: basic contact information, order history, donation history, and subscription renewals.

Try making some changes to your Profile

Use the "Edit" function to change your address, and then check to see how that's reflected on the Contact record in PatronManager. All fields that are visible to your PatronPortal users have History Tracking set up within PatronManager, so you can always audit where a change originated.

Check out the buyer experience

Click into Events, Memberships or Subscriptions to see what making a purchase looks like. The text block at the top of the right-hand panel is available for customization for PatronPortal users in PatronTicket Settings.

Where can I edit that text block?

Head over to PatronTicket Settings - which can be found by searching in the App Launcher, or using the quick link in the PatronTicket Hub.

Scroll to the Patron Portal Public Site Settings; the text block in question is the "Portal All Events Message." This can be edited using the "Edit" button at the bottom of the screen.

Read through the text on the Login screen - this is also editable in PatronTicket Settings.

Where can I edit the Login Message?

Head over to PatronTicket Settings - which can be found by searching in the App Launcher, or using the quick link in the PatronTicket Hub.

Scroll to the Patron Portal Public Site Settings; the text block in question is the "Login Page Message." This can be edited using the "Edit" button at the bottom of the screen.

While you're on the login page, try out the "Forgot Password" link - this will prompt you to enter your username, and the "Reset Password" email will be sent to your inbox. Make sure to read through the reset password email thoroughly to ensure the wording is accurate.

Want to change the wording of this email template?

This can be done in the Setup menu! Head over to your PatronManager account, click on the gear in the upper-right corner and select Setup.

In the Quick Find search bar, enter "Email Templates" and select Classic Email Templates.

Take a look in the PatronTicket Email Templates folder and select the Patron Ticket PatronPortal: New User Login Information template.

Select Edit and make your changes to the template.

After you've saved your changes, you can send another test email to make sure you're happy with your new template, rather than disabling and re-enabling your Test User.

5. All done? Don't forget to disable your user!

If you don't plan on using PatronPortal for this user past this test, be sure to disable the user from the Contact record.
