PatronManager can automatically run almost any report on a schedule and automatically email you the results.

This is perhaps most useful for Financial reports since many, like the Daily Sales Report, are intended to be run regularly anyway. As a bonus, you can even have Financial reports emailed to non-PatronManager users!

In this article, we'll go over:

  2. How to change or cancel a scheduled Financial report

Scheduling your Financial report to run automatically

A few Financial reports can't be scheduled. Specifically, the following reports can't be scheduled:

Instead, there are more detailed versions of these reports in the Reports tab that can instead be scheduled from there.

1. Go to the Financial Reports tab by searching for "financial" in the app launcher

2. Navigate to the report you'd like to schedule

In this case, we'll use the daily sales report

3. Choose your parameters and click "Submit"

This helps you see what the report results will look like so you can be sure you're scheduling the right report (but you'll also have a chance to change these parameters when you set up the schedule).

4. Click "Schedule Future Runs"

5. Fill out the details and click "Save"

  1. Scheduled Report Name: Provide a name for this recurring report.
  2. Date Range: Select the amount of time you'd like the report to cover - the day before, the week before, the month before, or a custom number of days.
  3. Active: Check this box in order to have the report send.
  4. Email To: Select the primary user(s) you'd like to receive the report, or the groups of users who should receive it.
  5. Additional Emails: Add up to 5 additional emails to CC when this report sends; these can be emails for non-PatronManager users.
  6. From Email Address: Select an Organization-Wide Address that will be used to send this report.
  7. Frequency: Select how often you'd like to receive this report.
  8. Preferred Scheduled Time: Select what time you'd like the report to run and send to you. Some options may not be available, depending on what times other scheduled reports have chosen.
  9. Save

Modifying or cancelling a subscribed report

1. Navigate to the Financial Reports tab

2. Click on "Manage Scheduled Reports"

3. Find and click on the name that you gave the scheduled report

To cancel it, click "Delete"

To modify the schedule, click "Edit"

Make any changes you want to, then click "Save"
