The Reports tab contains every report in your system, whether they're packaged PatronManager reports or custom reports you've built from scratch. Since the Reports tab is so vast and can be a little overwhelming at first, we'll highlight several useful report templates, which you can customize and build upon.  We'll explore reports in the following categories:

Before you customize these report templates, be sure to Save As! You'll create your own version of the report and leave the template ready for your colleagues.

Reports for Everyone

The following Accounts and Contacts reports will prove useful for everyone in your organization.

Something for everyone

All Households

This report shows every Account with an Account Type of "Household." There are similar reports for "Individual," "Foundation," "Business," etc. It's probably too general to be useful on its own, but is a great starting place for reports that give you information about your patrons' households.

This report shows every Contact record in PatronManager. Start with this report when you want to answer a question that starts with "How many of my patrons..."

Warning: this report may take a while to load if you have a lot of Contacts!

This report is a great start for telemarketing lists!

Reports for Marketing

This set of reports is a marketing person's best friend.  Read on to find reports you can use for email marketing campaigns or email show reminders.

See your Marketing reports

All Confirmed Opt-in Contacts

This is the best report to use when you build an email list - you'll likely use it often in conjunction with Emma or PatronChimp.  It contains every Contact in your system with valid email address, and who has opted in to your email list.

In other words, these are the people who want to receive marketing emails from you. You can use this list as-is for general interest mailings, but you can also use filters to more specific targeting.

If you become familiar with cross filters, you can segment this list by donation or ticket-buying history.

All Confirmed Opt-in Contacts

This is the broadest possible list you can legally send marketing emails to. It contains every patron in your system with a valid email address who has not explicitly opted out of your marketing emails.

We don't recommend using this as your primary template for marketing campaigns because it likely includes a lot of people who don't want to get your emails, but haven't bothered to opt out either. Still, sometimes you need to reach a wider group, and this is the report for that. This can be filtered the same way as the "All Confirmed Opt-in Contacts" report above.

Door List Template

The easiest way to see a door list for a particular performance is to find the Event Instance in the Event Inventory and click on the "Door List" link there. Still, you may sometimes need to start from a general door list template, and this is that template.

It returns a list of attendees for all your performances, and can be narrowed by Instance Date. You can use the Door List template to locate and greet patrons during intermission for an extra touch of hospitality. This report includes the Contact ID field, so it also can be used for email marketing purposes.

Reports for Development

We've built a suite of donation report templates - these reports are a great starting place for gleaning information about your donors.

All Donations

This is a report of every donation in your system. It's a good starting point for reports that give you information about donations, but you'll almost certainly want to filter it a little, or at least group by a field like Account Name.

All Donations by Fund

If you use the "Fund" field on donation records to direct your money into different funds, this report will be useful to you. It will tell you at a glance which donations are going to which funds, and can be filtered by Close Date to show a specific time period.

Donation History by Contact

This is a great report if you want to see your top donors. We have a couple recommended filters you should add to this report to get the most accurate information.

  • Filter by "Amount": this will allow you to restrict the report to only people who have donated over a certain amount. Sort the report by the same field to order your donors by Amount given.
  • Filter by "Donation Record Type": You'll most certainly want to exclude the Group Sales and Group Sales Payment Record Types.

If you use the Campaigns tab to organize your appeals, and fill in the "Primary Campaign Source" field when you enter donations, this report will be very useful for you. It breaks out donations by Campaign so you can see which ones were the most effective.

Reports for the Box Office

We've also packaged a number of reports for the Box Office.  See all your orders by Instance and keep track of subscriptions, and find out who's attending a performance the day of the show.

All Orders By Instance - no Reservations

This report shows every completed ticket order in your system, grouped by Event and Event Instance. Out of the box, it'll give you a lot more information than you need, but it can be easily filtered:

  • By Instance Date to see ticket orders for specific performances,
  • OR by Created Date to see ticket orders purchased during a specific time period.

This is the same as the last report, except it also includes reservations. It's great for estimating how many people will be in your house for each performance. This report can also be filtered by Instance Date or Created Date, to the same effect as above.

Subscription Orders Awaiting Fulfillment

This report will help you stay on top of your subscription fulfillment. It's one of the few reports on this list that probably doesn't need to be filtered further.

Door List Template

Who's Sitting in What Seat?

This is the same as the door list, but for Reserved Seating events. It lists the seats in your house, and it tells you who has purchased a ticket for each of those seats.

CRM Snapshots

CRM Snapshots allow you to run more complex queries than Salesforce reporting alone can do - fundraising reports like "Last Year but not This Year" and reports that combine ticketing and donations, for example. You can use CRM Snapshots as Emma or PatronChimp recipient reports, as well!

CRM snapshots are essentially snapshots of your data at a particular time - they don't update in real time as reports do. Once you run the query, it's finished and it will only ever show results as they appear at that moment; to get updated data, you'll need to re-run the query.

The list of CRM Snapshots is ever-growing. If you find that you need a Snapshot that isn't on the list, contact us and let us know, and we might be able to build it in the future.
