If your contract with us includes per-ticket fees, you'll receive Settlement Reports from PatronManager that summarize those fees and their related transactions. In this article we'll go over:

What does the PatronManager Settlement Report contain?

The Settlement Report only lists transactions where PM fees were charged (or refunded) to your organzation. PM Fees are not charged on Donations; therefore Donations do not appear on the Settlement Report.

How do I reconcile my Settlement Report with PatronManager?

Glad you asked! You'll use the Transaction Summary Report, and you can find complete instructions for that report here.

Will I get a PatronManager Settlement Report every week?

If PM fees are not assessed during a report period, you will not receive a Settlement Report for that period.

For example, if your organization only processed Donations (rather than ticket sales) during that time frame, you would not receive a Settlement Report.

What should I do if I think I should've gotten a PatronManager Settlement Report?

Follow the steps below - first, we'll check to see if you should have gotten a report. If you should have, we'll show you how to let us know.

1. Head over to the Financial Reports Tab

2. Click the Transaction Summary Report

3. Set the Transaction Date filters to show the period in question and click "Submit"

4. See if there are any PM fees in the report

  • If there weren't, you're done!
    • We won't send you a Settlement Report if there are no PM Fees during that settlement period.
  • If there were PM Fees in the report, submit a support request via the Community. When creating the case, use:
    1. I have a question about: Leap Account Management
    2. Specifically: Settlement Report: Resending a DR
    3. Description: Make sure to include the time period for the Settlement Report that you need re-sent

What about PatronManager Settlement Reports at the end of months?

If the end of the month falls on any day of the week besides Sunday, you will receive two PatronManager Settlement Reports. These two Settlement Reports will correspond with two debits or credits that reflect the PM Fees charged or refunded to you.

The first Settlement Report will run from the previous Monday to the last day of the month.

The second Settlement Report will run from the first day of the month to the previous Sunday.

Prior to March 2023, PatronManager Settlement Reports at the end of months could include information that spanned over both months.

Could you give me some examples?

Sure thing! For example, if April 1 lands on a Saturday, you'll receive two Settlement Reports on Tuesday, April 4:

  1. A Settlement Report running from the previous Monday (March 27) through the last day of the month (March 31)
  2. A Settlement Report running from the first day of the month (April 1) through the previous Sunday (April 2)

On the other hand, if the first day of the month lands on a Monday, you'll receive only one PatronManager Settlement Report that week.

For example, if May 1 lands on a Sunday, on Tuesday, May 2, you'll receive only one Settlement Report running from the previous Monday (April 24) through the last day of the month, which is a Sunday (April 30)

The following week, on Tuesday, May 9, you'd receive a separate Settlement Report running from the first day of the month, a Monday (May 1) through the previous Sunday (May 7).

What if we want to change the bank account that PM Fees are debited from?

If you'd like to change the bank account where PM Fees are pulled from, please submit a case in the Client Community so that our team can assist with the update!
