How to Add Custom Fields to a CRM Snapshot

If you have custom fields on the Contact or Account and want to include or filter by them in a CRM Snapshot result report, you first need to create a custom CRM Snapshot Report Type.

We'll use the following scenario as an example: We've run the "One Time Ticket Buyers" CRM Snapshot and want to add a filter using the "Head of Household?" field, but the field isn't in our standard snapshot.  How do we add it?  Let's find out!

The field isn't there because it is a custom field and snapshot reports don't include custom fields by default. (Some non-custom fields will also not be available in the default snapshot result reports, so you can follow these instructions for those situations as well.)

With all that said, let's go create a custom Report Type and add our custom field to the CRM snapshot!

1. Determine the Report type of your Snapshot result report

First things first - we need to find out what the Snapshot Report Type is called so we know what to look for.

2. Clone the Report Type and add custom fields

 Now that we have our Report Type, we'll need to clone it and build a custom Report Type that includes the Head of Household field and any other custom fields we want.  

Build the report here

1. Click on the gear and go to Setup

Build a new Report Type that includes this (and any/all other) custom fields

2. Search and click on Report Types

3. Click on the "Only Time Ticket Buyers" Report Type label

If there is already a Custom version of this Report Type called something like "Only Time Ticket Buyers, Custom", don't create another one. Refer to the "Customizing a Report Type" article.

4. Clone the existing "Only Time Ticket Buyers" Report Type

Clone the existing "Only TIme Ticket Buyers" Report Type.

5. Rename the Report Type clone and click "Save"

  1. Add language to the Report Type Label, Name and Description to indicate that this is a customized version of the "Only Time Ticket Buyers" Report Type
  2. Make sure that the Deployment Status is "Deployed"
  3. Click the "Save" button when complete

6. Click "Edit Layout" in the Fields Available for Reports section

  1. Main body of fields:  These are all the fields, grouped by Object (in this case, Accounts, Contacts and CRM Snapshot Result Members), already included in this Report Type.
  2. Right Panel:  Find custom fields not included yet in the Report Type here.
  3. Select what fields you'd like to see in the dropdown menu and click on the "Add Fields Related via Lookup" link to find fields related to that Object.

7.2. Add fields via Lookup from the Account to this Report Type if desired

1. Click on the "Add fields related via lookup" link in the box on the right

2. Click on the "Account Name" link in the "Add Fields via Lookup" pop-up

7.3. Check the Account fields you wish to add to the Report Type and click "OK"

8. Save your customized Report Type

3. Rebuild the CRM snapshot report

Now we're ready to rebuild the CRM snapshot report with our new Report Type; essentially we'll replace the existing CRM snapshot template with our new and improved one. There's a lot of back and forth between the old report and the new report in this step, so exercise a bit of caution on this last leg of configuration.

Let's go for it

1. Click on the App Launcher and go to the Reports tab

Re-build the CRM Snapshot Report using the new Report Type.

2. Open the original "Only Time Ticket Buyers" report in one browser tab

3. Open a new browser tab

4. Click "New Report" in the new browser tab

5. Search for and select the Only Time Ticket Buyers, Custom report type in the Report builder, and click "Continue"

6. Refer back to the existing "Only Time Ticket Buyers" report and customize this new report to match it

  1. Change the Show Me tile from "My Contacts" to "All Contacts"
  2. Change the Account Name: Created Date tile to "All Time"
  3. Add the filter "CRM Snapshot Result" equals blank ("")

7. Go to the tab with the old report without your custom field

8. On the old report, click on the arrow next to Save and click "Properties"

9. Change the report name to "Only  Time Ticket Buyers OLD", and click "Save"

10. Go to the report tab with your new report that includes custom fields

Click the Save button and paste the Report Name and Report Unique Name from the existing report into the appropriate fields

11. In the new report, click the "Save" button and paste the Report Name and Report Unique Name from the existing report into the appropriate fields

Note: you should still have both reports open in browser tabs at this point.  

Make sure the Report Unique Name is exactly what the old report's was! If it's any different (i.e. a number at the end), then this won't work!

Don't click the Save button here yet.

12. Go back to the old report tab

13. Run the "Only Time Ticket Buyers" report, then click the Delete button

14. You're sure, so go ahead and click "Delete"

15. Go back to the new report tab

16. Save the NEW "Only Time Ticket Buyers" report to the "CRM Snapshot Reports" folder

Now we're ready to work with the custom fields in the snapshot!

17. Go to the CRM Snapshots tab and click "View Report" to re-run your CRM Snapshot report

18. Click the "Edit" button when the report loads

19. Add your custom field filter to the snapshot result report!
