You're ready to send an email in your email marketing system, but you aren't yet using one of our supported email marketing integrations to connect that system to PatronManager. How do you get your list of contacts from PatronManager into your email system?

In this article, we'll walk you through the steps to manually export lists of Contacts from PatronManager, and then point you toward documentation that will show you how to import that list into your email marketing system of choice.

  1. Build a targeted list in PatronManager
  2. Export that list as a .csv
  3. Import the .csv to your email marketing system
  4. Build/send the email in your email marketing platform

1. Build a targeted list in PatronManager

First, you want to get the list of patrons who you'll be sending the email to and pull them into a report.

No matter which report you use, be sure to include the Email field as a column before you move on to the next step.

Use a Pre-Loaded Report

The Reports tab contains every report in your system, including some packaged PatronManager reports that are a great starting point to build your targeted lists!

Make sure to always Save As to make a copy of these pre-loaded reports before making any changes--that way you'll always have the original version to reference.

Use CRM Snapshots

CRM Snapshots are pre-built, easy-to-use reports that help you find the most important segments of your audience. Patrons who came to a particular show, lapsed donors, and more are right at your fingertips!

Then, once you create your CRM Snapshot, you can save those results in a report to use with your email marketing platform.

Build your own

Of course, you can always build your own custom report. Just be sure you include the Email column, as well as any other fields you need to map to your email marketing system.

2. Export your report as a .csv

Click the dropdown next to "Edit" on the report, then choose "Export":

  1. Select the Details Only tile
  2. Choose Comma Delimited .csv as the Format
  3. Click Export

3. Head to your email marketing platform and import the list

How you'll do this depends on your platform - we've linked to support documentation for some of the common email marketing providers below.

Be sure to tag your import appropriately so you can find it when it's time to send your email. That might mean importing it as a new segment/tag, or into an existing segment, depending on your needs.

Once you've built your email, choose to send it to the list (tag, segment, etc.) you just uploaded.
