PatronManager comes with robust reporting capabilities; with reports, you and your colleagues can distill important data about the many ways your patrons interact with your organization.  In this article, we'll introduce you to reporting and provide resources to help you become more familiar with all reporting has to offer.

Why use reports?

Track trends

Easily track your progress on ticket sales goals, donation trends, and more with easy to read dashboards (which are just reports in picture form!).

Create mailing lists

Reports allow for targeted (read: much more effective) marketing, whether you’re emailing potential subscribers or sending a donation ask by snail mail.

Stay informed about up-to-date weekly numbers

If you (or your supervisor) always want to know “What were our ticket sales last week?”, take all the manual labor out of the equation with scheduled reports.

Reconcile your finances

If your financial department needs to see ticketing or donation revenue or you need to reconcile your payouts PatronManager's financial reports will help you achieve this.

What reports come with PatronManager?

Your PatronManager account comes with a number of reports set up and ready for you to use:

CRM Snapshots

The CRM Snapshots tab lets you easily pull complex ticketing, donation, membership, and combination reports with a guided process to help you narrow your results.

Need to report on patrons who donated last year but not this (LYBUNT/SYBUNT)? Want to know who of your patrons have purchased tickets to a show and donated to your organization within a certain time frame? Want to know which patrons came to an event so that you can let them know about a similar one?

There's a CRM snapshot for each of these scenarios and more.

Financial Reports tab

The Financial Reports tab is your go-to for running financial reports. Report on transactions within a time frame, revenue for the run of a show or a specific performance, or reconcile your payouts.

Your Reports tab comes with a plethora of stock reports for Contacts, Accounts, Email List, Donations, Tickets, and more.

Can I customize reports?

Absolutely! You can add, remove and reorder columns in reports:

  1. Move Columns: Click and drag columns in the main report editor to reorder them
  2. Add Columns: Use the search bar to find fields you want to see in the report
  3. Remove Columns: Click the "x" next to fields you don't want to see in the report

Add filters to narrow down your report criteria:

Group your report however you like:

You can also add Cross filters!

Cross filters can do things like filter a Contact report to only show Contacts who have donated $10 or more - perfect for soliciting more donations. We love ‘em, and so will you!

What controls the data I see in my report?

Every report is based on a Report Type. The Report Type controls the data you see on each row of the report, as well as what fields are available to show data and filter the report.

The available fields in the report will depend on the report type you choose - for instance, a Contacts & Accounts report contains fields from the Account object and the Contact object.
