We've developed a donation tax receipt solution to ensure organizations in Canada can generate and track tax receipts from within PatronManager, while remaining compliant with national regulations.

In this article, we'll answer the following questions:

This feature is available for Canadian organizations only. If you're not based in Canada, you can issue tax receipts with a mail merge.

What is the Canadian tax receipt feature, and why should we use it?

It's a custom solution to serve all your tax receipt needs - right in PatronManager.

With this feature, your organization can generate the Tax Receipt record directly from the Donation record, and your staff can track who you've sent tax receipts to, as well as when and how many times you've reissued those receipts. Additionally, your development staff can generate individual mail merge documents from the Tax Receipt record.

Create a tax receipt with the click of a button

You can generate a new tax receipt when you click the "New Tax Receipt" action on a Donation record. Each tax receipt record has a unique, auto-generated tax receipt number, so you should only generate one tax receipt per Donation record.  

To see the Tax Receipt record, go to the Tax Receipts related list on the Donation and click on the Tax Receipt record link.

The tax receipt record contains custom fields you'll use to populate your mail merge tax receipt documents, including information pulled from the linked Donation record and the associated Account.

  1. Tax Receipt Number: This unique number auto-generates when you create the Tax Receipt record.
  2. Donor & Donation Info section: This section includes lookup and formula fields populated from the parent Donation record, as well as the associated Account. You won't need to manually fill in any of this information in this section!
  3. Reissue Info: This section contains the Reissue Date field, which you'll use to record when you've reissued a tax receipt to a patron.

Create a mail merge document from the Tax Receipt record

The Mail Merge action issues an individual mail merge directly from the Tax Receipt record. When you click on the Mail Merge action, you can choose any Tax Receipt-related mail merge templates you've created in PatronManager. Make sure you've created a mail merge template before you use the action!

In addition to issuing an individual mail merge tax receipt from the Tax Receipt record, you can also generate bulk mail merges, or use Conga Composer if it's installed in your account, to issue them en masse.

Reissue tax receipts

When a patron requests a new copy of their tax receipt, you don't need to generate a completely new Tax Receipt Record. Instead, you can reissue the same tax receipt and enter the date you reissued the receipt in the Reissue Date field.

This ensures the Tax Receipt numbers stays the same but still allows you to track your reissued tax receipts.

  • Do patrons request multiple copies of their tax receipts over time? We've got you covered! The Tax Receipt History related list on the Tax Receipt creates a new line item each time the Reissue Date field is changed. Each line displays important information, like the date the tax receipt was reissued.
