Stored Payment Methods allow you to store your patron's credit card or gift card information for future ticket orders and donation transactions. This is extremely useful for easier and quicker transactions for both you and your patrons.

Read below to learn more about using stored payment methods in PatronManager:

All stored payment methods are encrypted, so no actual credit card numbers are being stored in the system.  Long story short - you don't have to worry about hackers breaking into your system and stealing your patrons' data.

How do I use a stored payment method?

To get started with using stored payment methods, check off the "Activate Stored Payment Methods" checkbox in your PatronTicket Settings tab, here:

Click here for steps on how to do this

Go to the App Launcher

Search for "PatronTicket Settings" and click on it

Click "Edit"

Scroll down to Payment, Fee, and Delivery Settings and check the "Activate Stored Payment Methods" checkbox

Click "Save"

Using Stored Payment Methods in the PatronManager Box Office:

During the Payment process, select a card on file with the drop-down field.

What does this look like for my Donation records?

When processing a donation, select a card on file with the drop-down field.

Can my Portal users use their stored payment methods?

Yep! If your organization is using PatronPortal, your patrons will also be able to access their saved credit card information when purchasing tickets.

Where can I see my patrons' stored payment methods?

Stored payment information can be found in the "Payment Methods" component on your Contact records:

You may need to add it to your Contact page layouts. If you're not familiar with how to add a related list to your Contact page layouts, this Help Tab article will show you how. Add this related list to all of your Contact page layouts, such as Patron Contact, Other Contact, and any custom page layouts you're using.

Here's how we recommend you set your related list up:

  1. Selected Fields:
    • Payment Method Name
    • CC Type
    • CC Number Last Four
    • CC Expiration
    • Status
  2. Sort By:
    • CC Expiration
    • Descending

How do I save a new payment method?

You will have the option to save a payment method during a donation or ticket order transaction. You can also manually save a payment method directly from the Contact page, and if you're using PatronPortal, your patrons can save their payment methods when purchasing tickets online.

Click below to learn more:

Ticket sales

When processing a ticket order, if the patron is paying via credit card, you'll  have the option to save the credit card for future use - just click the checkbox that appears on the "Process Order" page.

Single donations

When you're processing a non-recurring, credit card donation in PatronManager, simply check the "Save for Future Use" checkbox

Recurring donations

When you're starting a new recurring donation, PatronManager automatically save the card to be used for future payments - no need to do anything special!

PatronPortal

Patrons logged into Portal can save the card they're using to purchase tickets for future purchases - all they need to do is click the checkbox, "Save my card for future purcahses."

Contact record (no transaction required!)

You can also save credit cards directly to your patrons' Contact record without processing a transaction

2. Click Enter Card Details

We're not charging the patron, but we need to send their card details securely to the payment processor, which uses a similar interface.

3. Add the card details, then click Confirm

This sends the card details securely to the processor to be tokenized and safely stored.

How do I remove or deactivate a payment method?

Head to the patron's Contact page, click on the Payment Methods component, and click on the payment method you need to deactivate.

Once there, click Deactivate, then click "OK" on the pop-up warning once you're ready.

You cannot reactivate stored payment methods once deactivated.  If you need to save that credit card information again, you'll need to re-add the card as a new stored payment method.

My patron wants to change the card they use for their recurring donation - can I do that?

You sure can, right from the recurring donation record! First, navigate to the recurring donation, then click "Change Stored Payment Method." For more details, check out our How to Edit Recurring Donations article.
