How to Report on Your Donation Pipeline and/or Accounts Receivable

Reporting on Donations that have come in is great - but you also need to see that haven't come in yet. In this article, we'll show you how to build a report to see:

Let's go! Each report should take no more than ~20 minutes to build.

1. Here's how to build a Donation Pipeline Report

1.1. Go to the Reports tab

1.2. Make sure you've selected the "All Reports" section, then search for and click on the All Donations report

1.3. Use the arrow in the top-right corner and click Save As

1.4. Fill in the pop-up like so:

  1. Report Name: Donation Pipeline Report
  2. Report Description: to track any donations that should come in the future
  3. Click Save!

1.5. Now click Edit

1.6. Click to the Filters tab and make sure these three filters are right:

  1. Show Me: All donations
  2. Close Date: All Time
  3. Probability: All

1.7. Now set Donation Status to Open

1.8. Add a Close Date filter

1.9. Set the filter to "greater or equal", then click Use Relative Date

1.10. Enter TODAY, then click Apply

1.11. Add a Donation Record Type filter

1.12. Set the filter to "not equal to", be sure to check off the Grant and Pledge record types, then click Apply

Heads up!

Make sure you're selecting the Grant record type and the Pledge record type; do not select the Grant Payment and Pledge Payment record types.

Remember, the Grant and Pledge records are just there to group the appropriate payment records together - we don't actually track payment on them, so they shouldn't be included here.

1.13. Your report should look like this; click Save As

1.14. All done! You can of course customize further from here if you wish

2. Here's how to build an Accounts Receivable Report

2.1. Go to the Reports tab

2.2. Make sure you've selected the "All Reports" section, then search for and click on the All Donations report

2.3. Use the arrow in the top-right corner and click Save As

2.4. Fill in the pop-up like so:

  1. Report Name: Accounts Receivable Donations
  2. Report Description: to see donations that were promised but have not come in yet
  3. Click Save

2.5. Now click Edit

2.6. Click to the Filters tab and make sure these three filters are right:

  1. Show Me: All donations
  2. Close Date: All Time
  3. Probability: All

2.7. Now set Donation Status to Open

2.8. Add a Close Date filter

2.9. Set the filter to "less or equal", then click Use Relative Date

2.10. Enter TODAY, then click Apply

2.11. Add a Donation Record Type filter

2.12. Set the filter to "not equal to", be sure to check off the Grant and Pledge record types, then click Apply

Heads up!
