Reporting on Donations that have come in is great - but you also need to see that haven't come in yet. In this article, we'll show you how to build a report to see:
- Donations on their way in (i.e. your donation pipeline)
- Overdue Pledge or Grant Payments (i.e your accounts receivable)
Let's go! Each report should take no more than ~20 minutes to build.
1. Here's how to build a Donation Pipeline Report
1.2. Make sure you've selected the "All Reports" section, then search for and click on the All Donations report
1.4. Fill in the pop-up like so:
- Report Name: Donation Pipeline Report
- Report Description: to track any donations that should come in the future
- Click Save!
1.6. Click to the Filters tab and make sure these three filters are right:
- Show Me: All donations
- Close Date: All Time
- Probability: All
1.7. Now set Donation Status to Open
1.8. Add a Close Date filter
1.12. Set the filter to "not equal to", be sure to check off the Grant and Pledge record types, then click Apply
Heads up!
Make sure you're selecting the Grant record type and the Pledge record type; do not select the Grant Payment and Pledge Payment record types.
Remember, the Grant and Pledge records are just there to group the appropriate payment records together - we don't actually track payment on them, so they shouldn't be included here.
2. Here's how to build an Accounts Receivable Report
2.2. Make sure you've selected the "All Reports" section, then search for and click on the All Donations report
2.4. Fill in the pop-up like so:
- Report Name: Accounts Receivable Donations
- Report Description: to see donations that were promised but have not come in yet
- Click Save
2.6. Click to the Filters tab and make sure these three filters are right:
- Show Me: All donations
- Close Date: All Time
- Probability: All
2.7. Now set Donation Status to Open
2.9. Set the filter to "less or equal", then click Use Relative Date
2.12. Set the filter to "not equal to", be sure to check off the Grant and Pledge record types, then click Apply
Heads up!
Make sure you're selecting the Grant record type and the Pledge record type; do not select the Grant Payment and Pledge Payment record types.
