How to Edit the Donor Associated with Donations

Sometimes when a Donation comes in, the Donation may be qualified to one Contact or Account when it should really be under another.

For example, John Stewart may make a Donation that was mistakenly qualified and connected to their personal Contact and Account record, when it really should've been connected to their business Contact under the Green Lantern Corps Account.

In situations like this, you can edit the Contact and Account associated with the Donation without needing to refund the whole thing! In this article, we'll walk you through how to make that adjustment.

1. Head to the Donation you need to adjust

Click into the Donation from the Contact record

The easiest way to do this will probably be from the Related List on the donor's Contact record.

2. Click Edit

3. Remove the Donor and Account from the Donation

Clear Account Name and Donor

4. Use the lookup to find the correct Contact for the Donor and Account

Find the new Account and Donor

The lookup will look like this:

5. Save your changes

Save
Click Contact Roles

Now that we've updated the Contact and Account record associated with the Donation itself, it's time to fully untangle this Donation record from the old Contact and Account it was related to.

7. Click Add Contact Roles

8. Find and select the new Contact you set as the Donor

9. Click Next

Click Next

10. Click into the Role field and select Donor

Select Donor as the Role

11. Click Save

Click Save

12. Click Edit Contact Roles

Click Edit Contact Roles

13. Clear out the Primary Contact

Clear the Primary Contact

14. Select the new Contact you set as the Donor for the Primary Contact, then Save

Select the new Donor, then Save

15. Delete the Contact Role for the older Contact set as the Donor (optional)

Optionally delete the Contact Role for the old Donor

If you'd like to completely disassociate this Donation from the Contact and Account that were originally tied to it, you can delete the Contact Role for the Contact that was previously set as the Donor.

Alternatively, if you'd still like to give that Contact some sort of credit for the Donation, you can do so by making them a soft creditor or a solicitor.
