How to Link to a PDF from a Donation Form

Sometimes you may wish to make a printable, paper Donation Form available for donors to download, print out, and mail in in addition to the online Donation Form. Alternatively, maybe you have a beautiful brochure about your season or donor levels that you'd like to make available on your Donation Form.

Whatever the case may be, you can add a link to a PDF from a Donation Form to let your donors download the PDF. In this article, we'll show you just how to do this.

All together, this should take about 30 minutes.

1. Switch to Salesforce Classic

Since we'll need to upload our PDF to the Documents tab first, we'll start by switching back to Salesforce Classic.

2. Go to All Tabs with the +

3. Select the Documents tab

Click Documents

4. Select the Shared Documents Folder and Go!

5. Click New Document

6. Upload the PDF

  1. Document Name: Give your Document a name
  2. Document Unique Name: This will auto-fill; no need to make changes
  3. Externally Available Image: Checked
  4. Folder: Make sure Shared Documents is selected
  5. Description: Give a short description of your PDF
  6. Choose File: Click to select your PDF from your computer
  7. Save

7. Click View file

8. Grab the end of the URL, starting with "/servlet"

9. Switch back to Lightning Experience

10. Go to Donation Forms

11. Select the Donation Form where you want to put the PDF

Click into the Donation Form you need

12. Grab the Public URL up to "/donate"

13. Combine the Public URL segment with the "/servlet" segment

In this example, our combined URL is  https://superherotheatre.my.salesforce-sites.com/donate/servlet/servlet.FileDownload?file=0155w0000043fnN

We recommend taking this combined URL and saving it in a text editor, like Notepad.

14. In the Form Builder, select New Content

This will allow us to place the PDF link on the Donation Form itself.

15. For Field Name select Long Text

16. In Content, add some text

Highlight text and Insert/edit link

18. Paste your URL from step 13 in the URL field and Save

19. Save again

20. Head to Setup

Now that we have the PDF linked on our form, we need to give donors online access to it!

Have you done this before? If so, you can stop here, since you already granted access to PDFs for your donors online!

21. Find and select Sites

22. Click Patron Donate

23. Click Public Access Settings

24. Click Edit

25. Scroll down to Standard Object Permissions and check Read for Documents

26. Scroll back up and Save

No worries! That just means that you have enhanced Profile view turned on. We can still make the changes we need to do.

4. Check Enabled for Read and Save
