Prior to the January 2023 release, you needed to qualify PatronTicket Donations - that is, Donations that come in as part of a Ticket Order - to create the Donation record in PatronManager and send acknowledgments.

As of January 2023, that extra step is no longer needed - the Donation record is created for you automatically. And to handle the acknowledgments, you can now set automated text to appear in the confirmation email for PatronTicket Donations. That means no manual effort is necessary for you to process and thank patrons for these gifts.

If you want to send additional acknowledgment letters manually, or just want a way to keep track of recent Donations received alongside Ticket Orders, this article is for you!

If you don't see the Reports tab on the main tab bar, click on the App Launcher to access all tabs.

2. Go to the All Reports tab in the left panel - check to see if you have a Ticket Orders with Donations report

The report may be called something like "Ticket Order Donations Last X Days" or something similar.

If you don't have a report and need to build it, we have instructions on how to do so here.

3. Once you have your report, click the arrow next to "Edit" and choose "Subscribe"

4. Set a schedule and criteria:

  1. Frequency: Choose how often you'd like to receive this report - Daily, Weekly, or Monthly
  2. Days: Since we've chosen Weekly as our Frequency, we can select which day(s) we'd like to receive the refreshed report
  3. Time: Choose a time you'd like to receive the report in your inbox
  4. Add conditions to this report: Check this box
  5. Conditions: Record Count greater or equal to 1
  6. Email Options: Summary + Report
  7. Send email to: me  
  8. Run Report As: Me
  9. Click "Save"

4.1. Click Edit Recipients

Missing the "Send To" and "Run Report as" options on the Edit Subscription screen?  Enable this feature here
4.1.1. Click on the gear and go to Setup
4.1.3. Click on the Profile next to your User
4.1.4. Click "Edit"
4.1.5. Scroll down to the Administrative Permissions section and check the following boxes:
  1. Subscribe to Reports: Add Recipients
  2. Subscribe to Reports: Set Running User
4.1.6. Click "Save"
4.1.7. Go back to your report and set your report subscription parameters

4.2. Search for and add your report recipients

You can only send reports to other PatronManager users. To send a report to someone without a PatronManager login, we recommend a third party app like Report Builder.

4.3. Once you've added all your recipients, click the "x" to get back to the "Edit Subscription" screen

4.4. Choose whether to run the report as yourself or someone else, and click "Save"

This will only make a difference if your organization restricts access to certain records for some users. If this concept is unfamiliar to you, you're probably good to select "Me".
