How to Create and Use Entry Notes: https://help.pm.leapevent.tech/a/1658082
Have you ever wished that ushers scanning tickets at the door could know right away that the ticket they just scanned is for a Major Donor or a Board Member?
Using Entry Notes, you can do just that!
In this article, we'll go over:
Ready? Let's get started!
What are Entry Notes?
Entry Notes are a way to quickly see information about a patron when you scan their tickets. When an Entry Note is set on a Ticket Order, that Entry Note will appear on the screen of the Android device used to scan tickets.
Entry Notes come from a picklist available on every Ticket Order. The picklist comes pre-loaded with a few default values:
- VIP
- Board Member
- Major Donor
- Member
- Subscriber
- Accessible Seating
How Do I Set Entry Notes?
You can set Entry Notes from the Order Notes of any Ticket Order, either during checkout or after the patron pays.
Since this is a picklist, you can only select one option at a time. If a patron falls into more than one of the Entry Note categories, select the one you think is the most important!
How Do I Create Entry Notes?
While the Entry Notes picklist comes with some handy pre-loaded values, what if you want to create your own?
You can do so from Setup! We'll show you how.
5. Enter your new Value(s), then click Save
If you want to add more than one Entry Note option, enter them on separate lines.
Now, your new Value(s) will be available in the picklist!

What are Entry Notes Used for?
Entry Notes can be used for any special information you'd like to give to your ushers or those who scan tickets. Here are some examples:
- Send to Box Office: To use on Ticket Orders where a patron needs to finish paying, alerting your ushers to send the patron to your box office
- Sponsor: To let ushers and staff know that this patron is sponsoring this event or season
- Birthday / Celebration: Alerts ushers and staff that this patron is joining you for some sort of celebration so they can greet them as they scan the patron in
Every organization will have different things they'd like to recognize at the door, so the sky's the limit with Entry Notes!
