In order to sell tickets to your events, you need to build those events in PatronManager. This article provides an general overview of what you need to know in order to build your events successfully. Specifically, we'll cover:

How are events structured in PatronManager?

As you can see in the diagram below, an event consists of:

  • Ticketable Event
  • Event Instances
  • Allocations
  • Price Levels

Pretend you want to sell tickets to a 2-performance run of Robert Ashley's avant garde opera, Perfect Lives. Let's familiarize ourselves with each of these essential event-building components.

Ticketable Event

The first thing to do is to create your Ticketable Event. The Ticketable Event is the show itself, the thing for which you are selling tickets.

Think of the Ticketable Event as container for all the event's performance dates (Event Instances); Perfect Lives is the event, and we've named our Ticketable Event as such.

Event Instance

An Event Instance is a single performance of an event; the Saturday matinee performance of Perfect Lives on August 16th at 2pm is one Event Instance, and the Friday evening performance is another Instance in the same Ticketable Event.

On the Event Instance, you'll determine the performance venue, whether the event will be reserved seating or general admission, and the on-sale start and end dates for the performance.

Allocation

Allocations are the seating categories within an Event Instance that all share common visibility and pricing options. Each Allocation has a different color, which corresponds with the seat map patrons see when they purchase tickets to the performance.

For example, even if your house is General Admission, you might sell a certain number of seats as “VIP” or "Premium" seats. Or for reserved seating, in the Orchestra, the first two rows might have a different price scale than the rest of that section, so those seats are a different Allocation.

Price Level

Price Levels are the price points for seats/tickets within an Allocation.

In this example, this reserved seating Event Instance has Price Levels in each allocation for single tickets (Regular and Comp) and a Price Level that will become part of subscription packages (Subscription). There's event a Price Level that allows patrons to set their price with Pay What You Will ticketing (Pay What You Will).

How does the Event look when the box office sells tickets internally?

Time to see the event we've shown you in action. Let's see what it looks like when your box office representatives sell single tickets through PatronManager Box Office (PMBO).

Ticketable Event and Event Instance

After you click on the Ticketable Event, PMBO will prompt you to choose one of the Event Instances associated with the Ticketable Event you selected.

The seat map reflects the Allocations on the Event Instance

  1. Remember how each Allocation is color coded? Those colors show up on the seat map.
  2. The Allocation legend shows the corresponding color and Allocation name, and the single ticket price level range for each allocation.
Price Levels

Once they choose seats on the seat map, box office staff then select which price level to apply to each Ticket Order Item.

Why don't we see the Fixed 5 and Pick 4 Subscription price level options?

Subscription price levels only appear as part of a subscription package, so they won't be available to sell as single tickets.

If a Price Level with the PWYW box checked is added to the cart, you'll be able to enter any amount above the set minimum Price for the ticket.

How does the event look when patrons purchase tickets online?

Now, let's take a gander at what your patrons see when they purchase tickets to an event online.

The Ticketable Event and Event Instance

When a patrons wants to buy a ticket from your Public Ticketing Site, they'll first see the Ticketable Event.

After they click "Learn more", they'll choose the performance date (the Event Instance) they want to attend

The seat map reflects the Allocations on the Event Instance

  1. Remember how each Allocation is color coded? Those colors display on the seat map!
  2. The Allocation legend shows the allocation colors and the single ticket price level range for each allocation.
Price Levels

Once they choose seats on the seat map, their selections will appear on the right side of the screen, and they can click "Change" to see available single ticket Price Levels.
