So You Want to Get Started with Volunteers: https://help.pm.leapevent.tech/a/1152225
If you depend on a large volunteer base, want to recruit volunteers from your patron database, or your board requires volunteer hour reports, the "Volunteers for Salesforce" (V4S) app is right up your alley. If you're interested, we first recommend checking out our Recommended Apps article and recorded webinar video on V4S to learn more. If you're ready to dive in, this article will walk you through how to make the app work seamlessly with PatronManager.
Install and configure Volunteers for Salesforce
Refer to the V4S installation guide here: https://help.salesforce.com/s/articleView?id=sfdo.V4S_Setup_Install.htm&type=5
This guide will provide a more in-depth overview of the app, detail pre-installataion requirements, and ensure that your install goes smoothly.
Once you've installed the app, you'll set up the app in PatronManager.
Be sure to work through all of the steps of the configuration, but you'll need to know with three important additions:
- Because PatronManager doesn't use Leads, you can skip configuration steps referring to Leads.
- You'll need to set up a few things in the custom settings for Volunteers
- Once you've completed the setup guide, you'll need to make one additional change to make sure Contacts come in as To Be Qualified.
If you're having trouble with the configuration, don't fret! There's help available.
Configure the Volunteers custom settings
Because Volunteers is developed by a third party, it doesn't exactly know where some fields live in PatronManager. Let's tweak that and make a few other minor changes.
5. Fill in settings and click Save
This screen has a lot going on, so we'll walk you through step by step:
- Set the Location to the Profile of "System Admin Clone".
- Enter "PatronDonate__Other_Email__c" into Contact Match Email Fields.
- Enter "PatronDonate__Informal_Salutation__c" into Contact Match First Name Fields.
- Contact Matching Rule will already have a value in it, and you can leave it be (the value is Firstname;Lastname;Email).
- Check the box next to "Grant Guest Users Update Access"
- If you don't plan to use the Personal Site feature of V4S, leave Personal Site Org-Wide Email Name blank. If you do plan to set up Personal Site, enter the name of the person or department that should display on emails sent to volunteers who use the Personal Site (e.g. "Linda Robinson" or "Box Office").
- Leave the Personal Site Requires URL Email Match checkbox unchecked.
- Leave Signup Bucket Account On Create blank.
- Check the Signup Creates Contacts If No Match checkbox.
- Check the Signup Matches Existing Contacts checkbox.
Be sure to click Save when you're done.
Adjust the default record type for the Volunteers Guest User
Last step! We need to make sure anyone using your shiny new V4S site gets brought into PatronManager as a To Be Qualified Contact, so you can make sure they're not a duplicate of an existing Contact.
5. Edit your page to match these settings and click "Save"
To Be Qualified will be in the right column; Patron Contact, Other Contact, and any other custom record types you created should be on the left.
The default record type should be To Be Qualified.
When you're done, click "Save".
6. You're all set!
