How to Set the Site Contact for your Public Sites

Every so often, your patrons may attempt a ticket order or donation while Salesforce is performing routine maintenance on your account. When that happens, they'll get to a "down for maintenance" site that directs them to send an email with questions.

To ensure that your patrons are able to get in touch with you, you'll need to set up your Site Contact.

In this article, we'll cover:

Setting up your Site Contact should take about 5-15 minutes.

What the Site Contact does

Your Site Contact is the user who receives questions from patrons or donors who try to access your Public Ticketing Site or Donation Form during a Salesforce maintenance period. Those patrons would see a "down for maintenance" message with an option to send an email with questions.

To ensure your organization receives those messages from your patrons, you should set the Site Contact to a PatronManager user at your organization.

You can (and should!) also set "Error Contact" info in PatronTicket Settings for the Public Ticketing Site. That contact info will be included in certain error messages your patrons might encounter while using the PTS.

During Salesforce maintenance, though, that error contact info isn't accessible, which is where the Site Contact comes in.

Who the Site Contact should be

The Site Contact must be an active user in your PatronManager account. To avoid creating extra steps for yourself in case of staff turnover, we recommend setting the Site Contact to the most "permanent" user in your system.

Generally, we recommend setting your Box Office Manager as the Site Contact for your PatronTicket site and your Development Director or Director of Giving as the Site Contact for your PatronDonate site.

How to set the Site Contact
Go to Setup

2. Search for and select Sites

Find and select Sites

3. Click "Edit" next to the Site you want to adjust

Click Edit

In this example, we'll set the Site Contact for the PatronTicket site.

If you accidentally click "Deactivate" here, don't panic! Just click "Activate" again when the page reloads.

4. Choose your Site Contact

Find and select the user you want

Use the magnifying glass icon and lookup and select the user you want to set as your Site Contact.

Take a moment to double check that the field you are updating is the Site Contact.  Updating other fields on this page can break your Public Ticketing Site.

5. Click Save

Click Save

Repeat steps 3-5 for any other Sites you may have, especially the PatronDonate Site and Signup Form.
