Have you ever wanted to see your Event Instances in a calendar view within Salesforce? While a calendar view of your upcoming events for sale is available on your Public Ticketing Site (PTS), you may want to create a calendar view that you can see when you log into PatronManager.

If so, then you can do this in Lightning! In this article, we'll walk you through how to build a calendar to view your Event Instances within PatronManager.

How to build an Event Instance calendar

Lightning allows you to create custom calendars with custom Objects, like Event Instances. This ability allows you to create a calendar that populates with information from your Event Inventory tab, so whenever you create new Ticketable Events and Event Instances, they'll appear right in your custom calendar!

1. From the App Launcher, find and select Calendar

Go to Calendar

2. Click New Calendar

Click New Calendar

3. Select Event Instance, then Next

Select Event Instance then Next

There's also an Object called "Event," do not use that Object. Instead, make sure that you use "Event Instance!"

4. Create your Calendar

Fill in details
  1. Calendar Name: Give your Calendar a name; we recommend something clear, like "Event Instance Calendar"
  2. Field for Start: Select "Instance Date (Date/Time)"
  3. Field for End: Select "Instance Date (Date/Time)"
  4. Apply a Filter: None
  5. Field Name to Display: Select "Name" to display the Event Instance Name
  6. Save

Frequently Asked Questions (FAQs)

What if I want the Ticketable Event Name to display on my Calendar?

Since the Ticketable Event Name doesn't live on the Event Instance object by default, if you want the Ticketable Event Name to display on your Calendar, you can create a custom field on your Event Instances that displays the Ticketable Event Name.

For this, we recommend building a formula field that references the Ticketable Event Name.

Can I share this Calendar with others?

At this time, Salesforce doesn't allow users to share custom Calendars like this with others. If your colleagues would also like to view Event Instances in a Calendar within PatronManager, their best bet will be to follow these same instructions to build their own custom Calendar.
