Every record in PatronMangaer (every Account, every Contact, every Donation, etc.) has a unique, 15 digit ID number.  However, this number is case sensitive - if it contains the letter "g", but you change the letter to "G", now you've got a totally different ID.

This can be, for a number of reasons, problematic.  Whether you're preparing for an NCOA update or doing a DIY Data project, you'll use a case safe, 18 digit ID, rather the standard, 15 digit ID.

In this article, we'll show you how to create the 18 Digit ID field. As an example, we'll create an 18 Digit ID field on the Account object.

Though this article uses the Account object, you can follow these steps to create an 18 Digit ID field on any object, like the Donation or the Contact.

1. Click on the gear and go to Setup

2. Go to the Object Manager, and click on Account

3. Go to the Fields & Relationships tab, and click "New"

4. Choose "Formula" and click Next

5. Name the field "18 Digit Account ID", choose "Text", and click Next

The Field Name autopopulates based on the name you put in the Field Label.

6. Create your case safe formula:

  1. Formula text box: Paste CASESAFEID(Id)
  2. Description & Help Text: "Case sensitive, 18 digit ID"
  3. Blank Field Handling: Select "Treat blank fields as blanks"
  4. Click "Next"

7. This screen is fine as-is; click "Next"

8. Uncheck all the Page Layouts, and click "Save"

You'll only use this field on reports, so it doesn't need to clutter your page layouts.

You can now use your new 18 Digit ID field in your reports!
