VIPs can be different for different organizations, but what they all have in common is a VIP is anyone you want to treat in a special way. This article points you to the resources you need to surprise and delight your VIPs at every turn!

Why track VIPs in PatronManager?

1. Find and track your VIPs

First, you need to identify who your VIPs are. VIPs might be:

  • Someone you need to keep happy for customer retention - like a subscriber who you want to renew
  • Someone who you want to increase their level of engagement with your organization - like a donor who you’d love to increase their giving level
  • Someone with a more curated need - like a local vendor who you’re hoping will give you a great catering deal for your next big event

The reason why you want to identify your VIPs is important so you know how to track it in PatronManager, and it helps brainstorm how you interact with that VIP.

1.1. Find ticket buyers or donors

Easily find groups of patrons who meet your VIP criteria with CRM Snapshots. You can build CRM Snapshots based on ticket purchase history and/or donation history giving you a highly targeted list of patrons.

1.2. Create a custom report to find your VIPs

Use a custom report to find your VIPs when a CRM Snapshot won't work. You can even work off a copy of one of our report templates--just make sure to Save As!

1.3. Track email or donation campaigns

Track email campaigns that target your VIPs to see how they respond. Campaigns are especially great for tracking donations.

1.4. Keep information handy

Create a custom field to easily identify who your VIPs are. Whether you create a simple picklist or a formula field, this will keep important information about your VIPs at your fingertips.

2. Roll out the red carpet ahead of time

No need to wait until an event to roll out the red carpet. Invite your VIPs to attend special events, give them exclusive access to tickets, and more.

2.1. Open up exclusive access to tickets

There are multiple ways to grant VIPs exclusive access to an event - whether it's a presale, a particular seating area, or both. Check out the Presale and Exclusive Access options.

2.2. Give your VIPs ticket discounts

Give your VIPs a code to get special pricing on tickets or a comp ticket with Discount Codes.

2.3. Invite your patrons to join the club

Automatically grant benefits to your VIPs with Memberships. Benefits might include discounted tickets and early access to purchase tickets.

2.4. Make the online buying experience personal

Give your VIPs the ability to login to their own account to purchase tickets, renew Subscriptions, make donations and more with PatronPortal. When you use memberships, logged in members will have their benefits applied automatically.

3. Connect with patrons during your event

Surprise and delight your VIPs during your event with small but meaningful touches.

3.1. See who's coming to your event

Use the Report Finder in the Client Community to pull a report and see who's coming to an event so you can be prepared to greet your VIPs in style.

3.2. Greet your VIPs at the door

Set up alerts on your scanning devices or send to a staff person so you know when VIPs arrive with Ticket Scanning Messages and Alerts. Check out this article and the On-Demand "VIP" webinar for more.

3.3. Leave VIPs a note at their seat

Use the Who's Sitting in What Seat report so you know where your VIPs are sitting and leave a special note or treat on their seat.

4. Keep the love going all year long

Beyond your events, it's important to deepen your relationships with your VIPs all year long.

4.1. Send a special thank you

Know when your VIPs have attended your events with PatronManager reports, so you can thank them for coming.

4.2. Gift your VIPs comp tickets

Send subscribers a voucher for a complimentary ticket with their welcome or renewal letter to bring a friend for free

4.3. Keep up with your VIPs activities

Use reports to keep track of VIP ticket purchases or donations. You can set the report to be emailed on a schedule or subscribe to only see the report when certain criteria is met.
