Planning a data update to a set of records? It's a great idea to make a backup first, just in case anything goes wrong.
If you'd like to periodically back up all of your data, check out our instructions on full data exports instead. If, on the other hand, you just need to back up a portion of your data, you can do that by exporting a report to Excel.
WARNING - by backing up your data, you may be downloading personally identifiable information about your patrons. It's a good idea to exercise care with this data: make sure that any computer used for this data has a strong password, up-to-date virus protection, and is not accessible by anyone but you. If you have any questions about this, please submit a case through the Community.
1. Find or create a report that contains the data you want to back up
Your process here will depend a lot on what data you need to back up. For help creating reports, see the Getting Started with Reporting section of the PatronManager Help Tab.
Tip: searching for "All" in the "All Reports" folder may give you some good starting points!
2. Double-check the report filters
This is particularly true if you chose an existing report based on the name -- make sure that your report truly contains all the data you need. You don't want to accidentally export only Contacts created this month, for example, if you're planning to update fields on a range of existing Contact records.

4. Adjust options as needed and click "Export"
- Select "Details Only"
- Under Format, choose Excel Format (.xls) or Comma Delimited (.csv). If your export is going to be large (i.e contain a lot of data) we recommend choosing the Comma Delimited option.
- Leave the Encoding setting as-is
- Click "Export"
5. Save your exported file in a safe place
The file will download automatically, typically to your "Downloads" folder. Make sure it's saved in a secure place and named clearly in case you need it later.
