How to Use Salesforce Related Accounts

Many of your patrons have a multifaceted relationship with your organization. Let's take a fictional board member, Luke Skywalker, as an example. Luke serves on your board, purchases tickets, and makes personal donations to your organization. He is also is a board member of the Skywalker-Organa Charitable Trust which frequently grants money to your organization. Wouldn't it be nice if you could track both relationships and only have one Contact record for Luke?

You can accomplish this using Related Accounts. Learn how to use this feature below!

If you don't see the Related Accounts and Related Contacts lists on your Account and Contact pages, this feature isn't configured in your PatronManager account. Head over here to see if this is the right solution for your organization, and find instructions to enable it if so.

Each Contact in your PatronManager account has an Account associated with it. Let's continue on with our Luke Skywalker example.

On the Luke and Mara Jade Skywalker Household Account, you can see the Donation and Ticket Order history for Contacts that have a direct relationship with this Account - in this case, Luke and Mara Jade.

We also related Luke's Contact record to the Skywalker-Organa Charitable Trust Account.

You'll notice that no Donations related to the Skywalker-Organa Charitable Trust Account appear in the related list on Luke's Contact or Account record, even though they've recently given you a grant.

The additional relationships you build from one Contact to several Accounts will not share information in the Ticket Orders or Donations related lists. That's because they're indirect relationships, rather than the direct relationship between the Luke Skywalker Contact and the Luke and Mara Jade Skywalker Account.

1. Create the Contact as you normally would, using the Account that represents your primary interaction with this patron

In this case, our organization interacts with Angela mostly as a patron who buys tickets, so we're putting her in an Individual Account.

You can find Related Accounts in the "Related" tab, or hover over Related Accounts in the Related List Quick Links section to access the "Add Relationship" button.

3. Search the Account you want to link to the Contact and select it

When you start to type, the system will bring up potential matches

4. Find the nature of the affiliation under "Roles" and highlight it

You can select multiple roles.

If you need to add any roles, head back to the configuration article to do that.

5. Click "Save"
