You've got a virtual show coming up! Here we've collected some guidelines for producing a successful livestream. We recommend you:

  1. Do a practice run a few days before your event
  2. Make sure everything is in place just before your event
  3. Have a staff member in your virtual audience
  4. At the correct time, launch your event

For best results, start this process a few days ahead of the event itself!

1. Do a practice run a few days before your event

This is your dress rehearsal!

Producing a polished virtual event takes practice, and you'll want to make sure you're comfortable with the software and technology you're using, as well as with the PatronManager integration.

To practice, set up a separate practice Event Instance, get someone from your staff to be the "audience", and test:

  • Sound / microphones / video cameras
    • Can your test audience hear all the instruments/speakers?
    • Does everyone who needs to speak have a microphone?
  • Internet connection
    • Is everything coming through to your test audience?
    • Do you need to do any special wiring to work with your venue's internet situation?
  • Your streaming platform
    • Does everyone have a login or appropriate access?
    • Does everyone know how to use it?
    • If you're using RTMP, is it hooked up correctly to the Event Instance?
  • Your pre-show Automated Communication template
    • Did your test audience get the template? Did it contain their ticket link? Was it clear where that link was in the email?
  • Launching your stream
    • Do you (and ideally, someone else on your staff) know how to launch the stream?
  • Your content (whatever you'll be streaming)
    • Does everyone know the order of events and a general grasp of how this will be different from a non-streamed event?
  • Your emergency pull-switch
    • Did your test audience get the email? Did the emergency link work?

2. Make sure everything is in place just before your event

This is your sound check!

Shortly before the start of your real virtual event, make sure you check the following:

  • Internet connection(s)
  • Webcam(s) and/or other video cameras
  • Microphones
  • The streaming software you're using (is everyone logged in who needs to be?)

3. Have a staff member in your virtual audience

This is your stage manager!

We strongly recommend you always have a staff member "attend" the livestream as a ticketed patron, from their own computer, and that you stay in contact with them and with any performers/panelists via a messaging service throughout.

This person can make sure that the livestream is running correctly, let you know if there are any problems with the mic or camera, etc.

4. At the correct time, launch your stream
