In PatronManager, there are multiple ways to grant special patrons exclusive access to an event - whether it's a presale, a particular seating area, or both. In this article, we'll review the array of possibilities and options via flowchart, and we'll provide a example scenarios necessary steps to take for each method.

We've grouped the examples into two categories (but remember, you can combine them):

Grant exclusive access to a presale

Use this flowchart to find out what steps you'll take to set up your specific presale. Then, take a look at some presale examples!

Example 1: Set up a members-only presale with tiered date access

You want to offer your members early access to buy tickets before the general public. The amount of advance time they have varies based on their membership level -- Gold members get presale access starting a week before the public onsale, while Silver members only get three days.

1. Create a Member/Passcode Access record on the Event Instance for the first Benefit Level and its corresponding start date

2. Repeat for each member level, with the correct start date for each

3. When Portal members log during the right date range for their specific Benefit Level, they'll have automatic access to the presale

Example 2: Set up a presale for patrons with a Passcode

You're working with a promoter and they require the artist's fan club to have presale access using a password for three days prior to the public onsale.

Or perhaps you're doing a promotion with a local radio station, and want to give them a special code to tell their listeners to type in for presale access.

1. Create a Passcode

2. Create a Member/Passcode Access record on the Event Instance, connect it to the Passcode, and set the start date to your desired presale start

3. Patrons will be able to enter the Passcode on the public ticketing site to gain access

Grant exclusive access to special seating areas

If you want to grant exclusive access to certain seats or an area of the house for special patrons, you've come to the right place.  Follow the flowchart to find out the steps to take for your specific scenario.

Example 1: Grant exclusive access to special seats with a Passcode and discount

A company wants to reserve a block of Group Seats for their customer appreciation event. They want their employees and customers to be able to purchase their own discounted tickets in that block of Group Seats with a Passcode.

They also want to offer two different discounts to the same block of Group Seats -- 15% off the regular ticket price for their customers, and a flat $10 ticket price for their employees.

1. Create an Access Code

2. Create a private Allocation on the Event Instance and connect the Access Code

Set up a private Allocation that includes the special seats. Consider color-coding the Allocation to help those patrons know which seats to purchase.

3. Create a Passcode

4. Create a Member/Passcode Access record on the Event Instance, and connect it to the Passcode and the Access Code

If you're using PatronPortal, also link this to the appropriate Benefit level so your members get this access automatically

5. Create the Discount Codes and connect them to Price Levels in the private Allocation

Here's how to set up a Discount Code.

If you're using Portal, also link your discount code to the appropriate Benefit Level(s) so your members get the discount automatically.

6. The patrons will enter the Passcode on the PTS...

7. Which will unlock the special Allocation

8. Then, at checkout they'll enter their Discount Code

Example 2: Grant exclusive access to special seats to Portal members

Your want to offer Portal members of a certain benefit level exclusive access to special seats when they log into their Portal account.

2. Create a private Allocation on the Event Instance and connect the Access Code

Set up a private Allocation that includes the special seats. Consider color-coding the Allocation to help those patrons know which seats to purchase.

3. Create a Member/Passcode Access record on the Event Instance, and connect it to the Benefit Level and the Access Code

Repeat this step if you want to grant special access to more than one Benefit Level.

4. When eligible portal members log in, they'll have access to the seats in the special allocation

Example 3: Set up a presale for a local sponsor in a special seating area with a Passcode

You have a local sponsor and you'd like to offer them presale tickets with a special code, and also have them sit in a special seating area of the house

2. Create a private Allocation on the Event Instance and connect the Access Code

Set up a private Allocation that includes the special seats. Consider color-coding the Allocation to help those patrons know which seats to purchase.

3. Create a Passcode

4. Create a Member/Passcode Access record on the Event Instance, and connect it to the Passcode and the Access Code

6. Which will unlock the special seats

Example 4: Grant exclusive access to special seats with a URL

You’d like to set aside a block of seats at a discounted price that includes the performance and a wine club dinner as a special promotion for the wineries you work with. You’d like to give a separate URL to the wineries so they can include the link in their wine club member newsletter.

2. Create a private Allocation on the Event Instance and connect the Access Code

Set up a private Allocation that includes the special seats and special pricing (if applicable). Consider color-coding the Allocation to help those patrons know which seats to purchase.

3. Patrons will use the Access Code URL to access their exclusive seats
