How to Delete an Event or Event Instance

When it comes to building events, we all make mistakes. Provided you have not sold any tickets to any Instance with the Event, you can delete the Instance(s) and Event(s) using these steps:

  1. Make sure no tickets were sold in the Event(s) or Instance(s)
  2. If your Event has many Instances, delete some Instances first
  3. Delete the Event

Depending on how many Instances are in your Event, this will take 10-20 minutes.

1. Confirm no tickets were sold in the Event/Instance you want to delete

1.1. Go to Event Inventory and click on the Event

Search for the Event in the Filters section and click "Apply Filter" to find it faster!

1.2. Scroll down to the bottom section and look at the Performance Report or Event Summary Report

  • If you want to delete some Event Instances, but not the whole Event (1):
    • Check the box next to the Instance(s) you want to delete, and click on "Performance Report"
  • If you want to delete the entire Event (2):
    • Click "Event Summary Report" to see an overview of the Event

Did you find any transactions?

If you didn't, you can move on to the next step.  If you did find transactions - even refunded transactions - you won't be able to delete the event. Expand the sections below to see what you can do instead.

When you can't delete a Ticketable Event

1.1. Click "Edit" on the Event

1.2. Uncheck the "Active" box, and give the Sort Order field a high number, like 999

1.3. Click "Save"

Now the event will be on the last page of your Event Inventory, and you can filter out this event when you show active events only in Event Inventory

When you can't delete and Event Instance

1.1. Scroll down the Event Instance list on the Ticketable Event and click "Edit all"

1.2. Uncheck the "Active" box next to the Instance in question, rename it something like "do not use", and click "Save"

2. What if there are several Instances in my Event?

Deleting the Event will also delete the Instances within that Event.  However, If you have several Instances in an Event, you might see an error, which prevents you from deleting the entire Event in one fell swoop.

If you only have a few Instances per Event, may be able to skip to step 3.  If you get an error about too many Instances, though, come right back here!

2.1. Go to any Instance in the Event you want to delete

2.2. Click OK to confirm

2.3. Repeat steps 2.1 and 2.2 for the rest of the Instances

3. Delete the Event

3.2. On the Event, click "Delete"

3.3. Again, click OK to confirm

All done!
