Set Up the "Subscription Refund" Event to Refund Fulfillment Items

If you want to refund one piece of a subscription- that is, one of the fulfillment items - you'll need to set up a special Subscription Refund event with $0 tickets. Then, you'll "exchange" fulfillment items for these tickets, refunding your patron the difference.

You'll only need to set this Subscription Refund event up once, and it should take about fifteen minutes. Let's go!

2. First, make sure you don't already have a Subscription Refunds event

Use wildcards! Search for:

*refund*

to find any event with "refund" anywhere in the title.

3. OK, you don't have one set up and need to create one? Then click the "New Ticketable Event" button

4. Fill in the following information

  1. Ticketable Event Name: The Ticketable Event name should be "Subscription Refund".
  2. Event Type: The event type should be "Tickets".
  3. Active: The event must be marked as "Active".
  4. Internal Description: Make sure your box office users know when to use this event, e.g.:
    • "This event is only to be used when exchanging tickets that are part of a subscription package for a refund or to be converted to a donation."
  5. Click Save

5. Scroll down to the bottom and click "New" to create a new Event Instance

6. Fill in the following information

  1. Event Instance Name: The Event Instance name should be "Subscription Refund".
  2. Instance Date: Set the Instance Date very far in the future, like 2099!
  3. Seating Type: "General Admission" should be the seating type.
  4. Active: Checked.
  5. Click Save

7. Scroll down and click "New Ticket Allocation"

8. Fill in the following information

  1. Allocation Name: Set it to "Refund".
  2. Sale Status: Set to Private.
  3. Original Qty: Set it nice and high, so you won't need to come in and adjust it.
  4. Click Save and Create Level

9. Match these settings

  1. Price Level: The name should be "Refund".
  2. Price: 0
  3. Fee: 0
  4. Active: Make sure the Active checkbox is checked.
  5. Visibility: Private
  6. Click Save

10. Great! You've set up your Subscription Refund event. Now, let's actually refund those subscription items!
