If you are using the same venue map on multiple instances within a single event, and all of those instances have the same allocations, you are able to reallocate seats (move them from one allocation to another) for multiple event instances at once.

This is a real time-saver for last-minute changes like holds or pricing map adjustments.

Are you:

  • Setting up Events and Event Instances for your new season?
  • About to process renewals using the Subscription Renewals tool?
  • Reallocating seats subscribers sat in last year?

If you answered "yes" to all three of those questions, be aware the Subscription Renewal Tool will be thrown for a loop by any subscriptions that involve reallocated seats; you'll need to renew subscribers sitting in any reallocated seats manually.

Before you start, this tool only works for event instances that are:

1. In the same Event

2. Built using the same PYOS venue map

You cannot reallocate seats across multiple General Admission instances.

1. Let's begin!  Click on the App Launcher

OK, let's begin! Go to the Event Inventory tab and click on the Ticketable Event that you'd like to change

3. Find the event you need in Event Inventory

Type the name of the event (or part of the name) in the Ticketable Event field and click "Apply Filter" to quickly find the event - no asterisks needed in lightning!

4. Scroll down to the Event Instance list. If you don't see all of the instances you want to reallocate, change the "Page Size" to 200

5. Check the boxes next to the Event Instances you'd like to reallocate - or the box at the top of the list if you'd like to reallocate all of them - and click "Reallocate Seats"

6. Choose the section for your first reallocation (if this venue has sections)

7. Use the drop-down menu to select the allocation into which you want to put the seats

8. Select the seats that you want to reallocate and click"Next - Reallocate Seats"

PRO TIP: Use the lasso tool for quick seat selection!

9. The seats are reallocated! You can repeat this as many times as you want

If your venue has sections,  the "Back to Section Selection" button will be available to take you to another section.
