In order to sell Retail in PatronManager, you'll first need to build out your Retail Inventory.
Building your Retail Inventory is similar to creating a Ticketable Event and Event Instances, which is great because that means you can sell Retail alongside tickets and admission on your Public Ticketing Site or in PatronManager Box Office.
In this article, we'll go through how to create items in your Retail Inventory! At the end, we also have some considerations for selling Retail online.
In order to set up Retail, make sure you've enabled mobile tickets first!
1. Decide if you'd like to sell Retail online now
If you don't want to start selling Retail on the PTS right away, then move forward to step 2!
If you'd like to start selling Retail online on the Public Ticketing Site (PTS) as soon as you've built you've set up Retail, then you've got an extra step.
3. Click New Retail Category
A Retail Category is your top-level grouping. Retail Categories are used as filters if you choose to sell items online, and you can run financial reports to summarize all sales in a category.
Some examples of Retail Categories are:
- Apparel
- Drink Tickets
Are you just looking to edit some existing Retail? You can click the Name of the Retail Category you need to edit!
4. Enter and Save the Retail Category information
- Name: Enter a name for your Retail Category
- General Ledger Code: Optionally, enter the General Ledger Code for this Retail Category to help make financial reporting easier
- Non-taxable: If you have Sales Tax turned on, you can exclude this Retail Category from Sales Tax by checking this box
- Active: Check to ensure that you can sell this Retail Category
- Sort Order: Optionally, enter a number here to control the order of the list of Retail Categories in the Retail Inventory tab and on your Public Ticketing Site (PTS)
- "Sold Out" Message: Optionally, enter a message to let online buyers know if this Retail Category is sold out
- Supported Delivery Methods: Make sure the boxes are checked for all Delivery Methods that are available for this Retail Category
- Internal Description: Optionally, share useful information with your internal staff, like a brief description of the Retail Category, other potentially interesting options for purchase, etc.
- Save your Retail Category!
5. Click New to add Product Types
Product Types are your second-level grouping. Product Types collect a set of items under one heading on your Public Ticketing Site (PTS) and you can run a financial report for all items within a Product Type.
Some examples of Product Types are:
- Hamlet T-Shirt
- Non-alcoholic Drink Tickets
6. Enter and Save the Product Type
- Name: Enter a name for this Product Type
- Active: Check to ensure that you can sell this Product Type
- Sort Order: Optionally, enter a number here to control the order of the list of Product Types in the Retail Category and on your Public Ticketing Site (PTS)
- Non-taxable: If you have Sales Tax turned on, you can exclude this Retail Category from Sales Tax by checking this box
- Detail: A description that appears on the PTS
- Image: Upload an image to represent this Product Type and optionally add Image Alt Text for accessibility; an image is required for each Product Type
- Custom Cart Text: Custom text that will appear on the PTS if this Product Type is added to the cart
- Max Items Per Order: The number of this Product Type that patrons can purchase in one online order
- Save your Product Type!
7. Click Add Product Stocks
Product Stocks are specific items that you sell. Inventory is controlled at the Product Stock level.
Some examples of Product Stock are:
- Men's Medium T-Shirt
- Women's Large T-Shirt
- Water Bottle Drink Ticket
- Soda Drink Ticket
8. Enter and Save the Product Stock
- Stock Name: Enter a name for this Product Stock (i.e., gummy bears, medium shirts, deluxe album, etc.)
- Sale Status: Select how you'd like this Product Stock to be on sale
- If you'd like this to be available for sale online on the PTS, select Public
- If you'd like to only sell this internally in PatronManager Box Office (PMBO), select Private
- If you need to take this off sale completely, select Not for Sale
- Original Qty: Enter the number of this Product Stock you have available for sale
- Price: Enter an amount to sell this Product Stock for
- Fee: Optionally, add an amount as a Fee for this Product Stock
- Price Visibility: Select how you'd like this Price Level to be on sale
- If you'd like this Price to be available for sale online on the PTS, select Public
- You can only have one (1) Price Level with a Price Visibility of Public per Product Stock; if you wish to have this work differently, please suggest a Product Idea
- If you'd like to only sell this Price internally in PatronManager Box Office (PMBO), select Private
- If you'd like this Price to be available for sale online on the PTS, select Public
- PWYW: Check if you wish to allow patrons to enter the price they wish to pay for this Product Stock; if checked then the Price set will be the minimum price a patron can pay for the Product STock, but they can also input a greater amount
- Access Code: Optionally, search for and select an Access Code if you wish to sell this Product Stock privately to specific groups via a special link
- Sort Order: Optionally, enter a number here to control the order of the list of Product Stocks in the Product Type and on your Public Ticketing Site (PTS)
- Save your Product Stock or...
- Or Add Another Product Stock to build out your Retail selection!
10. Repeat steps 3-8 for all of the Retail you wish to sell
11. (Optional) Add Member/Passcode Access
If you wish to sell this Product Type with special access for your members logging into PatronPortal or VIPs with a Passcode, you can set that up with these instructions.
Note that pre-sale access is not currently supported for Retail Products. Submit a Product Idea if you'd like to see this in future!
Some notes about selling Retail on the PTS
You can sell Retail internally in PatronManager Box Office (PMBO) and online via the Public Ticketing Site (PTS). If you choose to sell Retail on the PTS, here are a few things to consider:
- You can set some customizable text on the Retail landing page that will appear on the right side of the page! This can be set from the "Retail Content" field in PatronTicket Settings.
- By default, Retail on the PTS (including the header link) will be called "Retail." If you wish to change this, you can relabel "Retail" to your organization's preferred term.
- While Product Stock images are optional, if you add an image to one Product Stock within a Product Type, we recommend adding an image to all Product Stocks within the Product Type to ensure a smooth experience on the PTS.
- No tickets are generated for Retail items, but you can manually mark Retail items as claimed if you sell items for onsite pickup.
