We're pleased to announce a special PatronManager release, specifically focused on box office financial reports. You'll find a lot of detailed information and instructions the user guide, but here's an overview of the changes we made and what you can expect.

1. Box Office Reports Tab

This is your one-stop shop for summary reports about your ticket sales. To access it, click on the plus sign in the tab navigation, and look alphabetically on the list for "Box Office Reports." (This is separate from the main "Reports" tab!)

These reports are all designed to give you the easiest and most accurate financial reporting about your box office sales. You'll still use the standard reports tabs for some things, like getting lists of ticket buyers or running some more complex queries, but for most financial questions, this is the place to go. 2.  Disbursement Reconciliation Report

This is the report that many clients have asked for! It's designed to supplement the detailed transaction report you receive from Patron Technology with your check. It covers all transactions included in the disbursement, summarized and then (most importantly) grouped by event:

3. Sales Summary Reports

This new report is based on transaction date, like the Daily Sales Report, but it allows you to have more control of how you view the data. To get a quick summary of all transactions in a time period, enter a date range, and choose to group by event instance, user, order origin, or payment method. (This report also supports longer time frames than the classic Daily Sales Report does.)

4. Subscription Breakout Report

Use this to "break out" the details of subscription sales in a particular timeframe – this report will show you the effective value of each event's tickets in a subscription. This is designed as a supplement to the Daily Sales Report to let you access more detailed information (quantities and revenue) about subscription sales, broken out by ticketable event:

5. Event Summary Report

The new Event Summary Report gives you the same data you would get by running a Performance Report for all Event Instances at once, but this will run faster and give you a streamlined look at the results. You can choose whether or not you want to display fees (which means it's easy to use it as a box office statement for your producer), and you can schedule it to be e-mailed to yourself or any other user on a regular basis.

7. Updates to Performance Report

We've made one important change to the Performance Report: You'll see a new "Ticket Summary" box, where the totals for this performance are broken down by "ticket type": Full Price, Discounted, Subscription, and Comp.

6. Updates to Daily Sales Report

The Daily Sales Report has been updated to break out comps and subscription exchanges separately from sold tickets, so you'll get better reporting on your actual sales:

Also, we've changed a few things about the way we handle exchange transactions, which means you'll be able to get more accurate reporting on payment methods in this report.

-- Important Bug Fixes --

When you write in to client services to report a bug or issue, we often reply letting you know it's been passed on to the product development team to be resolved. We mean it! Here's a quick rundown of what we've fixed this time around:

  • Resolved an issue which was intermittently routing online orders to a "down for maintenance" page.
  • Fixed the "Amount Donated This Fiscal Year" field to reset properly for a new fiscal year, and to display properly if there are no donations.
  • Fixed an issue with buyer fee calculations when removing items during an exchange
  • Improved the layout of Box Office Express display in Firefox
  • Fixed Contact Lookup fields to allow apostrophes as part of a search word
  • Improved handling to prevent negative donation amounts on ticket orders
  • Improved handling to prevent negative exchange fees
  • Resolved a couple of weird issues that were happening with Ticket Order Item prices
