What's New in This Release

This release contains a diverse set of exciting PatronManager improvements that we built based on your feedback. They include:

  • Museum Admission for Attendance Tracking
    • Easily check in a museum member and their guest(s) with this new feature, currently in beta. This feature is only available in the Salesforce Lightning Experience. Contact us to get involved.
  • STS Gift Card Integration with the PatronManager Box Office
    • Pay for Ticket Orders with STS gift cards and refund orders to existing or new gift cards, all within the PatronManager Box Office. This is currently a back office feature and is not available on the public ticketing site (yet). Contact us to learn more.
  • Ease of Use Features
    • We released a series of updates that allow you to do more in your PatronManager account, without relying on our support team for help.
  • Other Updates
    • Your organization's Default Payment Method now also applies to Box Office Express.
    • You can change the Contact or Account on a completed Ticket Order, even if there is a Donation on that order.
    • Third Party payment methods can now be used to issue a Refund.
    • Merging "Other" Contacts during Qualification has been fixed (was an issue due to the July 2018 release)

2018 End of Year Release Notes Webinar

Museum Admission for Attendance Tracking

For members with benefits, checking into your museum has never been easier. With the PMGR Member Admission Lightning App, you can quickly look up and admit members visiting your institution - you can even scan them in with a QR code!

This feature is only available in Salesforce's Lightning Experience and is currently in beta. If you are a museum client and are interested in leveraging this new feature - as well as updating your organization to Lightning - contact our support team.

Here's how Member Admission works:

1. Select the member being admitted to your museum

Find your members in the Member Lookup tab.

Once a member is selected you'll see a special version of their Contact page featuring Benefits and Admissions.

2. Click "Admit' next to the Contacts' Benefit to quickly admit your patron.

This action will create an Admission record with today's time stamp.

3. View previous dates your patron attended

In the Admissions related list on the patron's Contact page, you can quickly see how many times this member has attended your institution.

If you are a museum client interested in tracking admissions as well as transition to Salesforce's Lightning Experience, click Submit a Support Request today to learn more about this beta feature.

4. Report on Member Admission

To get started, click "New Report" from the Reports tab in PatronManager.

You'll notice several new Report Types relevant to Member Admission. Contacts with Admissions, Contacts with Admissions and Account, as well as Contacts with Admissions and Benefit. Let's run a report for Contacts with Admissions and Benefit, since we want to see which members showed up and what Benefit they have.

With the Contacts with Admissions and Benefit Report, you can clearly see the members' Benefit Level, Admission Name, and date of Admission.

5. USB QR Code Scanner Support for Member Admission

Easily admit members by clicking on the "Admit" button or by using a USB QR Code Scanner to scan a membership card with a QR Code. While we don't recommend a particular USB barcode scanner, any USB scanner that reads a QR code should work with this feature.

You can add a QR Code field to the member's Contact Page Layout. You can scan this code from the screen, or download and print the QR Code onto a physical membership card.

Smart Transaction Systems (STS) Integration with PatronManager Box Office

For years, we've partnered with Smart Transaction Systems (STS) to provide an easy-to-use gift card management system.

Now, we're expanding the functionality available with STS, starting with an integration between STS and the PatronManager Box Office. If you'd like more information about STS and how to implement it for your organization, check out our "All About Gift Cards / Gift Certificates (STS)" article.

Great ways to utilize this new feature:

1. Select Gift Card as a Payment Method

2. Select a Gift Card on File or Add a New Gift Card for Payment

You can also save the gift card for future use.

3. Issue a Refund with a Gift Card

This is only available for full refunds. You can select a gift card on file for a particular Contact.

4. View & Report on Gift Card Transactions

Gift Card Payment Methods will appear on the Payment Methods Related List on the Contact Page Layout. You can also report on Payment Methods including Gift Cards.

Ease of Use Features

With our focus on ease of use, we are working hard to improve some of our internal processes that impact you. This includes updating some features that previously required you to contact Client Services to implement. With this ongoing effort, you'll be empowered to do more of these things yourself - rather than asking our team to do them for you.

These are the features in this release:

1. Process Ticket Order Refunds for Donations

With this update, you are now able to fully refund donations on a Ticket Order. Partial refunds are not available for Donations.

In order to refund the donation, you'll need to make sure it's qualified first. Once the donation has been qualified, you can proceed with the refund.

2. Add Account Sort name Field to the Account Page Layout

The Account Sort Name field is now packaged on the Account to help with all your program book and donor listing needs. You can add this field to the Page Layout for Accounts! This includes a "Sort Name" and "Manual Sort Name" field.

3. Modify Fee Setup if Pending Renewal or Reservation Orders Exist

Previously, we prohibited you from modifying the Fee Setup using the Item Fee Setup Wizard if Pending Renewal and/or Reservation orders existed in your account. We have removed this roadblock and added a warning message.

4. Add a General Ledger (GL) Text Field On Donations

When modifying the Donation Page Layout in Setup, you can now add a General Ledger Code text field.

5. Soft Credit Record Type on Donation Record

Soft Credits can now be entered as Donation records rather than Contact Roles, simplifying your reporting and tracking process!

After creating a Donation, click 'New Soft Credit' on the Soft Credits related list, and associate it with the Soft Credit Contact. You have the choice to include or exclude Soft Credits in Donation reports and roll-ups.

The new Soft Credit Record Type requires a bit of setup first!  Follow along with this article - the process should take no more than 30 minutes.

You can also view Soft Credits for a Contact by adding the Soft Credits Related List to the Contact Page Layout.

Other Updates

In every release we include several smaller features and bug fixes in order to improve your experience with PatronManager. We have outlined these additional updates below

1. Default Payment Method Applies to Box Office Express

Box Office Express will now respond to your organization's default payment method. For example, if you have Credit Card set as your default payment method, it will be the same for the PatronManager Box Office as well as Box Office Express. To set this up, follow these steps:

1.1. Go to Setup and select Objects

1.2. Select the Ticket Order Custom Object

1.3. Select Payment Method under Custom Fields & Relationships

1.4. View the Payment Method Values

The default Payment Method will be checked in the default column.

In order to change the default, click Edit next to the Value you wish to change and update the default value for the master picklist.

2. Change the Contact or Account on a completed Ticket Order that has a Donation

You can now make changes to the Contact or Account for a completed Ticket Order, even if there is a Donation on that order. This was previously a restriction we have now lifted.

3. Refund to Third Party Payment Methods

In PatronTicket Settings you'll see the "Available Third Party Refund Methods" field. Edit PatronTicket Settings to select a third party method used by your organization.

4. Merge "Other" Contacts during Qualification

Several clients experienced a bug when merging Contacts during Qualification. When attempting to qualify a Contact in some "Other" format and merge it with an existing qualified Contact, an error message appeared. This issue has been resolved.
